The Conference Speaker Outreach Coordinator is responsible for identifying and reaching out to
potential speakers for our conferences and events. This role plays a crucial part in securing
engaging and knowledgeable presenters who can contribute to the success of our events. The

Key Responsibilities:
1. Speaker Identification:

- Research and identify potential speakers based on the event's theme and objectives.
- Build and maintain a robust database of potential speakers from various industries and
expertise areas.
2. Outreach and Engagement:

- Effectively communicate the value of speaking at our events and establish a positive
rapport.
3. Speaker Acquisition:

- Coordinate speaker acquisition by sending formal invitations and agreements.
- Negotiate speaking fees, travel arrangements, and other logístical details as necessary.
4. Event Coordination:

- Collaborate with the event manager and logistics team to ensure that speaker
requirements are met.
- Communicate event details, schedules, and expectations to confirmed speakers.
5. Logistical Support:

- Provide support to speakers in terms of travel arrangements, accommodations, and
event logistics.
- Address any questions or concerns from speakers leading up to the event.
6. Speaker Management:

- Manage speaker profiles and information, keeping records up-to-date.
- Oversee speaker contracts and payments, ensuring all obligations are met.
Reporting and Documentation:

- Maintain detailed records of speaker outreach, responses, and confirmations.
- Provide regular reports on speaker acquisition and status updates.
Qualifications:

- Minimum 2 years experience.
- Bachelor's degree in Communications, Marketing, or a related field (preferred).
- Proven experience in event coordination or outreach roles.
- Exceptional communication and negotiation skills.
- Strong organizational and time management abilities.
- Proficiency with CRM software and event management tools.
- Detail-oriented and capable of managing multiple tasks concurrently.
- Proactive and self-motivated with a creative approach to outreach.
Working Conditions:

- This role may require occasional travel to attend events and meet potential speakers.

**Salary**: Up to ₹800,000.00 per year
