The roles and responsibilities of Front Office and Admin Executive are as follows but not limited to
Front Office Responsibilities:
- Greeting Visitors: Welcome guests, clients, and employees as they arrive at the office, creating a positive first impression.
-Telecalling: who can do Telecalling as part of work
- Answering Phone Calls: Handle incoming calls, routing them to the appropriate individuals or departments, and taking messages when necessary.
- Managing Appointments: Schedule and manage appointments for clients, visitors, and internal meetings. Maintain an organized calendar to avoid scheduling conflicts.
- Maintaining Reception Area: Keep the reception area clean, organized, and well-presented. Ensure that reading materials and company information are readily available.
- Providing Information: Address inquiries from visitors and callers regarding the company, its products or services, and other general information.
- Handling Mail and Packages: Receive and distribute mail and packages, ensuring that they reach the appropriate recipients promptly.
- Managing Access: Control access to the office premises by entering the details in the register
Administrative Responsibilities:
- Filing and Documentation: Organize and maintain physical and digital records, including important documents, contracts, and correspondence.
- Scheduling: Coordinate and schedule meetings, conferences, and travel arrangements for executives and employees.
- Office Supplies: Monitor and manage office supplies, ensuring that necessary items are stocked and available for employees.
- Communication: Handle internal and external communication, including emails, and letters.
- Data Entry: Input and update information in databases, spreadsheets, and other company systems.
- Expense Management: Assist in tracking and managing office expenses, including processing invoices and maintaining expense reports.
- Vendor Management & Coordination: Liaise with Administration & Facility vendors including - Internet services, Telecom, Property Management, etc.
- Coordination: Collaborate with other departments to ensure an efficient flow of information and resources within the organization.
- Event Coordination: Help plan and execute meetings, trainings etc
- Banking and field works- Dropping cheque and other related works
- Assisting Management: Support senior management with various administrative tasks as needed.
