Executive Assistant To The Chairman Of An Infrastructure Development Company

We are seeking a highly skilled and experienced Executive Assistant to provide comprehensive administrative and project coordination support to the Chairman of our infrastructuredevelopment company.
This role is critical in supporting the leadership of a major governmentinfrastructure project and requires exceptional organisational skills, technical proficiency, andthe ability to work effectively with diverse stakeholders.Key ResponsibilitiesAdministrative ExcellenceProvide high-level executive support to the Chairman, including calendar management,meeting coordination, and correspondencePrepare executive briefings, reports, and presentations for board meetings andstakeholder communicationsManage confidential information with the highest level of discretion and professionalismProject Management & CoordinationUtilise MS Project and other project management software to track project milestones,deliverables, and critical path activitiesMonitor and report on project progress across multiple departments and workstreamsCoordinate and facilitate communication between Heads of Departments (Ho Ds) and external consultantsMaintain project documentation and ensure all stakeholders have access to the current project informationStakeholder ManagementServe as primary liaison between the Chairman and approximately 12 external consultantsCoordinate meetings, communications, and deliverables with consulting teamsFacilitate cross-departmental collaboration and information sharingManage relationships with government officials and regulatory bodies as requiredFinancial Oversight & ReportingMonitor project budgets, revenue streams, and expense trackingPrepare financial summaries and variance reports for executive reviewAssist in budget planning and resource allocation decisionsTrack consultant invoicing and payment schedulesCritical Path ManagementEvaluate and monitor critical path activities to identify potential delays or risksCoordinate with project teams to ensure timeline adherenceEscalate critical issues to the Chairman with recommended solutionsMaintain comprehensive project schedules and milestone trackingRequired QualificationsTechnical SkillsAdvanced proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook)Expert-level knowledge of MS Project or equivalent project management softwareStrong analytical skills with the ability to interpret financial data and project metricsExperience with reporting and monitoring systemsProfessional ExperienceMinimum 5-7 years of executive assistant experience, preferably in infrastructure,construction, or government contractingDemonstrated experience managing large-scale projects with multiple stakeholdersProven track record of working with senior executives and external consultantsExperience in government project environments strongly preferredCore CompetenciesExceptional interpersonal and communication skillsStrong organisational and time management abilitiesAbility to work under pressure and manage competing prioritiesHigh attention to detail and accuracyProactive problem-solving approachAbility to maintain confidentiality and exercise sound judgmentEducationBachelor's degree in Business Administration, Project Management, or related field preferredProject Management Professional (PMP) certification is a plusAdditional certifications in Microsoft Project or similar software are advantageousWhat We OfferCompetitive salary commensurate with experienceComprehensive benefits packageOpportunity to work on significant government infrastructure projectsProfessional development and training opportunitiesDynamic and challenging work environmentApplication RequirementsPlease submit your resume, along with a link to a Loom recording where you introduce yourself, explain why you would like to be an executive Assistant to the Chairman of an Infrastructure Development Company, and tell us about your experience with large-scale project coordination and stakeholder management.
