Project Manager & Executive Assistant to the CEO - Job Summary

We are seeking an elite PM / Executive Assistant to support the CEO as we create a high-end brand from the ground up within a global company of 2,000+ people. You will work directly with the CEO to oversee every aspect of this journey, from managing production processes to coordinating high-profile client engagement . You’ll also be the CEO’s right hand in working with teams in Switzerland and France . You’ll have a front-row seat to the creation of a brand that will revolutionize the luxury space.

This is an in-person role based in Mumbai with demanding work hours, where you will be expected to be fully engaged and available to manage the CEO’s demanding schedule and global coordination needs.
Key Responsibilities
1. Project Management & Research
Oversee critical business processes : Track every detail in the development of the product, ensuring flawless execution.
Collaborate with research partners : Work with academic research partners to ensure we have all the necessary information to begin the design and production process.
2. Client & Stakeholder Management
Manage high-profile client engagement : Be the first point of contact for our UHNW clients, arranging meetings and follow-ups with professionalism.
Coordinate global meetings : Schedule meetings with stakeholders in Switzerland, France, and India to ensure seamless communication on key business decisions.
3. Brand Development & Marketing Support
Collaborate with PR agencies : Work with global PR agencies to build the brand, manage checkpoints, and ensure quality delivery of brand materials.
Event management : Help orchestrate luxury launch events and private meetings for an exclusive clientele, ensuring flawless execution from start to finish.
4. Administrative Support
Support the CEO: Manage the CEO’s schedule, calendar, and travel logistics to ensure they are fully prepared and focused on high-level strategies.
5. Customer Experience & Retention
Enhance the client experience: E nsure a seamless customer journey from initial contact to post-delivery engagement, focusing on building strong, lasting relationships.
Key Qualifications
3-5 years of executive assistant experience in a luxury or high-end company, or a similar field.
Superior organizational skills with the ability to juggle multiple high-priority tasks under tight deadlines.
Exceptional communication skills, with the ability to interact seamlessly with UHNW clients, global teams, and top-tier professionals.
Proactive problem-solving with a strong initiative—you’ll need to anticipate the CEO’s needs and think ahead.
Eye for detail
Experience in luxury branding, marketing, or product development is highly desirable.
Ability to handle sensitive and confidential matters with absolute discretion.
Project management skills, with experience using tools like Monday or Notion.
Fluency in English and Hindi is required; French proficiency is a strong advantage.
Bachelor's degree in Business, Marketing, Project Management, or a related field.
