Job Title: Virtual Assistant
Job Summary: We are seeking a highly organized and efficient Virtual Assistant to support our team from our office location. The Virtual Assistant will be responsible for a variety of administrative tasks, including managing schedules, coordinating meetings, handling correspondence, and providing general administrative support. The ideal candidate will be proactive, detail-oriented, and able to work independently with minimal supervision.
Responsibilities:
Manage calendars and schedules, including scheduling appointments, meetings, and travel arrangements.
Coordinate and prioritize incoming requests and emails, responding to or redirecting as necessary.
Prepare and edit documents, presentations, and reports as needed.
Conduct research on various topics and compile information into organized reports.
Assist with project coordination and tracking, including setting up project management tools and updating project status.
Handle incoming phone calls and inquiries, screening and directing calls as appropriate.
Organize and maintain electronic and paper files, ensuring easy access and retrieval of information.
Assist with basic bookkeeping tasks, such as tracking expenses and invoicing.
Provide general administrative support, such as ordering office supplies, maintaining office equipment, and coordinating office events.
Perform other duties as assigned to support the team and organization.
Qualifications:
High school diploma or equivalent; associate or bachelor’s degree preferred.
Proven experience as a virtual assistant or administrative assistant.
Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other common software tools.
Familiarity with online collaboration and communication tools, such as Google Workspace (formerly G Suite), Zoom, and Slack.
Ability to maintain confidentiality and handle sensitive information with discretion.
Ability to work effectively in a fast-paced office environment.
Reliable transportation to and from the office.
