Executive Support
Provide direct administrative assistance to the CEO and Chief of Staff.
Represent executives internally and externally with professionalism and discretion.
Manage complex travel arrangements and logistics for executives.
Plan and execute leadership offsites, team events, and strategic meetings.
Track and manage expenses, budgets, and financial oversight for executive projects.
Handle special projects across Operations, GTM, Admin, and Central Data Storage’s organizational needs.
Maintain department performance dashboards, ensuring quarterly delivery of KPIs and KRAs.
Calendar and Meeting Management
Independently manage executive calendars, scheduling meetings, appointments, and events.
Coordinate internal meetings, including one-on-ones, interviews, and all-hands sessions.
Prepare detailed meeting agendas, track action items, and ensure timely follow-ups.
Initiate and track follow-ups for client, team, and investor meetings.
Communication and Documentation
Draft, edit, and prepare slide decks, correspondence, and presentations.
Create and maintain documents such as offer letters, termination letters, and employment agreements.
Record meeting minutes, ensuring actionable next steps are documented and assigned.
Scrum Activities
Attend daily stand-ups, sprint planning, and backlog grooming sessions.
Monitor and update tasks on Monday.com, ensuring departmental alignment with monthly goals.
Track KPIs and KRAs for all departments to ensure progress toward organizational goals.
Human Resources Support
Create job descriptions and post them across various job boards and platforms.
Screen resumes, shortlist candidates, and schedule interviews with hiring managers.
Organize and coordinate interview processes, ensuring smooth communication between candidates and the hiring team.
Assist in onboarding new hires, including preparing employment documentation and scheduling training sessions.
Contribute to employee engagement initiatives and HR analytics reporting.
Requirements
Experience : 3-4 years in a similar Executive Assistant role; HR-related experience is a plus.
Skills : Exceptional organizational skills, attention to detail, and the ability to prioritize.
Communication : Strong written and verbal communication skills.
Technical Proficiency :
Microsoft Office Suite (Excel, Word, PowerPoint).
Google Workspace tools (Docs, Sheets, Slides).
Project management tools (Monday.com, Asana, Trello).
Adaptability : Thrive in a fast-paced, dynamic environment with minimal supervision.
Work Hours : Available to work remotely from 8:30 AM CST to 5:30 PM CST.
