Human Resources & Admin Senior Executive Location: Kochi JOB PURPOSE & SPECIFIC RESPONSIBILITIES HR Management: Implement HR policies, procedures, and programs in compliance with applicable employment laws and aviation regulations. Manage the complete recruitment lifecycle including job postings, resume screening, interviews, and hiring recommendations. Prepare detailed recruitment and selection reports for review by the Reporting Manager. Draft job offers, salary slips, and engagement letters. Oversee employee onboarding and orientation processes. Conduct probationary reviews and issue confirmation letters. Maintain accurate and confidential employee records including personnel files, benefits, and leave data. Address ESIC/PF-related issues, salary and bank queries, and resolve employee conflicts. Assist in generating UANs for new joiners and ensure PF e-nominations across departments. Follow up on circulars and memos issued by management. Coordinate annual appraisal cycles, liaise with departments, and consolidate performance data. Manage exit formalities including full & final settlements and issuance of experience and relieving letters (including resignation acceptance, termination, end-of-contract, and abandonment letters). Update attendance records, leaves and overtime in the payroll system. Collect and deposit employee security/training deposits and maintain accurate records. Coordinate with banks for salary account openings and update records accordingly. Conduct induction programs for new hires. Address daily HR queries and support team HR operations. Coordinate internal vacancy notifications (IVNs) by liaising with department heads. Assist in disciplinary actions and contribute to continuous process improvement. Respond to employee queries regarding health insurance and provide necessary support. Ensure statutory and legal compliance across HR functions. Execute additional HR and administrative tasks as assigned by the HOD. Responsible and accountable for overall quality, safety and security of operations in the assigned area of work. Responsible for reporting to his supervisors’ occurrences, events, violations and acts that may affect safety, security and company reputation. Administrative Management: Supervise general office administration including stationery requisitions, facility upkeep, and equipment maintenance. Coordinate travel arrangements for employees including flight and hotel bookings. Manage daily correspondence, emails, and inquiries. Support the organization of company events and meetings. Legal Compliance: Stay updated on relevant employment laws, regulations. Work closely with the HR team and counsel to address compliance related matters. EDUCATIONAL QUALIFICATIONS Bachelor’s degree in Human Resources, Business Administration, or a related field is preferred. (MBA in HR will be an advantage) RELEVANT EXPERIENCE At least 4 to 5 year’s experience in various HR functions. PERSONAL CHARACTERISTICS & BEHAVIOURS Demonstrates strong supervisory and leadership skills, providing guidance and direction to the team members. Good communication and interpersonal skills, command over reading, writing & speaking English. Excellent organizational and multitasking skills. Possesses fluency in both written and spoken English. Ability to take quick decision in the interest of the company. Ability to work effectively in a team-oriented environment. Ability to understand and interpret HR policies and procedures.
