About Book My Tale Book My Tale creates deeply personalised children’s storybooks that celebrate identity, culture, and family. Every book is handcrafted using thoughtful storytelling, custom illustrations, and high-quality printing. We’re a small but passionate team building a category-defining storytelling brand. We are now looking for a Part-Time Operations Coordinator to manage order fulfillment, quality control, vendor communication, and ensure a seamless customer experience from purchase to delivery. What you'll own (Scope of Work) Order & Print Operations Manage monthly print batches. Ensure all customer orders are correctly exported, proofed, and marked print-ready. Organise and maintain the print-ready drive folder for each batch. Create and maintain shipping excel sheets for the printer with accurate customer details. Coordinate closely with the printing partner to confirm timelines, print status, and delivery readiness. Schedule pickups via Shiprocket; generate labels, invoices & manifests for the printer. Track pickup compliance and proactively resolve any delays or exceptions. Quality Assurance & Experience Review printed book samples periodically for quality, typos, packaging, colour consistency, and overall output. Identify recurring issues and work with the team to improve print and packaging processes. Maintain checklists, SOPs, and internal workflows to reduce manual errors. Audit customer delivery issues (damages, delays, lost packages) and coordinate replacements where needed. Customer Communication & CRM Ops Work with our tech team to automate operational email flows (confirmation → print update → shipped → delivered). Manage ongoing operational emails via Mailchimp (order updates, feedback requests, offers when needed). Maintain accurate records of all orders, shipments, and delivery statuses. Packaging & Vendor Development Explore new packaging suppliers, printers, paper options, and box upgrades. Work with the founders to test and implement new packaging ideas. Build a basic vendor list and cost comparison database. Operations Process Improvement Identify manual processes that can be automated; collaborate with tech to streamline. Proactively highlight areas of inefficiency and recommend fixes. Help tighten operational loops between content, design, tech, printing, and customer service. What we're looking for Extremely detail-oriented — you notice typos, colour mismatches, wrong labels, missing steps. Strong organisational skills and comfort with checklists, spreadsheets, and operational flows. Comfortable interacting with vendors (printers, courier partners, suppliers). Ability to follow structured processes while also improving them over time. Proactive communicator who keeps the team updated without being reminded. Interest in books, storytelling, or the children’s category is a bonus but not required. Hours and work style 12–20 hours/week depending on batch load and process complexity. Work can be flexibly scheduled but must be responsive during working hours for vendor coordination. During print week (1–2 weeks/month), availability will be slightly higher.
