Designation : Executive Assistant/Personal Assistant to CMD

Experience : 3-8 years

Qualification : Graduate (Preferably from CBSE/ICSE schools)

Summary:  We are seeking an experienced and highly organized Executive Assistant to provide comprehensive support to the Founder and CEO of a dynamic real estate development company. The ideal candidate will possess exceptional multitasking abilities, outstanding communication skills, and a proactive approach to managing diverse responsibilities in a fast-paced environment. The CEO oversees operations not only in real estate development but also in the segments of defense and hospitality, requiring a versatile EA capable of handling varied tasks with efficiency and discretion.

Key Responsibilities:

  1. Calendar Management:  Maintain the CEO's schedule by scheduling meetings, appointments, and travel arrangements, ensuring optimal time management and coordination of commitments across multiple business segments.
  2. Communication:  Act as a primary point of contact for internal and external communications, screening calls and emails, responding on behalf of the CEO when appropriate, and ensuring prompt follow-up on inquiries.
  3. Information Management:  Manage information flow to and from the CEO's office, including handling sensitive documents, preparing reports, and conducting research as needed to support decision-making.
  4. Project Coordination:  Assist in managing projects across the real estate development, defense, and hospitality sectors, coordinating with relevant stakeholders, tracking progress, and ensuring deadlines are met.
  5. Event Planning:  Organize and execute events such as meetings, conferences, and corporate functions, including logistics, venue selection, catering, and guest coordination.
  6. Relationship Management:  Cultivate and maintain positive relationships with key stakeholders, including investors, partners, clients, and government officials, representing the CEO's interests professionally and diplomatically.
  7. Confidentiality:  Handle confidential information with the utmost discretion and maintain strict confidentiality regarding sensitive matters pertaining to the CEO's business dealings.
  8. Miscellaneous Tasks:  Provide general administrative support, such as managing expenses, preparing presentations, drafting correspondence, and performing ad hoc duties as assigned by the CEO.

Qualifications:

  • Master's degree in business administration, management, or related field preferred.
  • Proven experience as an Executive Assistant or similar role supporting C-level executives, preferably in real estate or related industries.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Strong communication skills, both written and verbal, with a professional and courteous demeanor.
  • Proficiency in Microsoft Office suite and other relevant software applications.
  • Discretion and integrity in handling confidential information.
  • Flexibility and adaptability to work in a dynamic and rapidly changing environment.
  • Prior experience or familiarity with the real estate development, defense, or hospitality sectors is a plus
