Role Overview
We are seeking a highly organized and proactive **Inventory and Admin Manager** to
manage inventory, logistics, and administrative operations. The role involves overseeing
equipment, travel arrangements, event logistics, volunteer coordination, and ensuring
smooth administrative functioning. The ideal candidate will have strong multitasking skills
and the ability to manage diverse responsibilities effectively in a fast-paced environment.
Key Responsibilities
Inventory Management
- Manage the procurement, storage, and distribution of all equipment and supplies required
for live events and productions.
- Maintain accurate inventory records, conduct audits, and ensure stock levels are
optimized.
- Monitor equipment usage during events, ensuring timely check-ins and check-outs.
- Coordinate with vendors and suppliers to ensure the timely delivery and maintenance of
materials.
- Identify and address equipment repair and maintenance needs to avoid operational
disruptions.
Administrative Management
- Oversee daily office operations, including supplies, facilities, and documentation for
equipment.
- Maintain detailed records of equipment usage, travel plans, and event logistics.
- Ensure compliance with licensing, safety, and operational regulations.
- Assist in preparing detailed reports and presentations for management related to
inventory, logistics, and admin tasks.
Travel and Event Logistics
- Coordinate ticket bookings, travel arrangements, and accommodations for team members
and event participants.
- Arrange food and catering for events, ensuring timely service and quality.
- Organize transportation, on-ground setup, and other event-related logistics.
- Plan and execute operational requirements for multiple projects simultaneously.
Volunteer Coordination
- Track and maintain accurate volunteer attendance records for each event.
- Manage volunteer payment processes, ensuring timely disbursements.
- Provide orientation and training for volunteers to ensure smooth event execution.
- Act as the primary point of contact for volunteers, addressing their needs and queries
during events.
Budgeting and Planning
- Monitor expenses related to inventory, logistics, and administrative tasks to stay within
budget.
- Forecast inventory and logistical needs for upcoming events, ensuring preparedness.
- Collaborate with teams to plan and execute event operations efficiently.
Skills and Experience Required
- Strong organizational and multitasking skills with attention to detail.
- Proven ability to manage travel, accommodations, and event logistics effectively.
- Excellent interpersonal and communication skills to collaborate with teams and vendors.
- Proficiency in inventory management tools, Microsoft Office Suite, and related software.
- Ability to thrive in a fast-paced environment with tight deadlines.
Preferred Skills
- Experience in managing sports or media production equipment.
- Knowledge of event coordination, logistics, and volunteer management.
- Analytical mindset with the ability to create efficient workflows and solutions.
