Key Responsibilities:
- Assist in Supplier Sourcing:- Research and identify potential suppliers for goods and services.- Assist in evaluating suppliers based on price, quality, and reliability.- Purchase Order Management:- Help in the creation and management of purchase orders (POs).- Ensure that POs are accurate and processed in a timely manner.- Follow up with suppliers for order confirmation and delivery schedules.- Vendor Communication:- Communicate with suppliers to resolve any issues related to pricing, delivery, or product quality.- Maintain records of interactions with suppliers for future reference.- Inventory Monitoring:- Assist in monitoring inventory levels to ensure necessary stock is available without over-ordering.- Collaborate with the inventory and warehouse teams to track incoming shipments and stock status.- Cost Control and Analysis:- Support the senior purchasing staff in price comparisons and cost analyses to identify the best deals.- Track and report price fluctuations and market trends that may affect procurement decisions.- Documentation & Record Keeping:- Ensure all procurement-related documentation is properly filed and maintained, including POs, invoices, and contracts.- Assist in maintaining accurate records of vendor details and purchase histories.- Support in Negotiation:- Participate in negotiations with vendors under the guidance of senior staff to help secure favorable terms and conditions.- Compliance & Ethical Practices:- Ensure that all purchasing activities comply with company policies and legal standards.- Adhere to ethical purchasing practices and maintain integrity in all dealings with suppliers.- Assist in Reporting:- Help in generating reports on procurement activities, including purchase order status, supplier performance, and cost savings.- Learning & Development:- Stay up-to-date with procurement best practices and industry trends.- Take part in any training or development programs offered by the company to improve purchasing and negotiation skills.
Skills and Qualifications:
- Bachelor’s degree in Supply Chain Management, Business Administration, or related field (or equivalent work experience).- Basic understanding of purchasing processes and procurement principles.- Strong organizational skills and attention to detail.- Good communication and interpersonal skills.- Ability to work under the direction of senior purchasing staff.- Proficiency in Microsoft Office Suite (especially Excel) and basic understanding of procurement software (e.g., SAP, Oracle).- Ability to manage multiple tasks and prioritize effectively.
