Roles & Responsibility:

Calendar Management:

- Organize and maintain executive calendars, scheduling meetings, appointments, and travel arrangements efficiently.- Prioritize conflicting needs and ensure timely handling of matters, proactively following through on projects to successful completion.

Communication:

- Screen and manage phone calls and emails, responding to inquiries as necessary.- Draft, edit, and proofread correspondence, communications, presentations, and other documents.

Meeting Coordination:

- Coordinate and prepare materials for meetings, conferences, and presentations.- Record minutes and maintain comprehensive records of executive meetings.

Administrative Support:

- Prepare and manage expense reports, ensuring accuracy and timely reimbursements.- Maintain organized office filing systems, ensuring confidentiality and accuracy of records.- Procure office supplies and manage inventory to ensure adequate stock levels.

Confidentiality:

- Handle sensitive information with utmost discretion, maintaining confidentiality at all times.

Travel Arrangements:

- Arrange travel itineraries, accommodations, and logistics for business trips efficiently.- Optimize travel arrangements to meet executive requirements while ensuring cost-effectiveness.

Special Projects:

- Provide support for special projects and assist other departments as needed.

Desired Skill Set:

1. Master's degree in Business Administration, Secretarial Studies, or related field preferred.2. Minimum of 1 years of experience as a Personal Secretary or similar role.3. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).4. Strong organizational and multitasking skills.5. Excellent verbal and written communication skills.6. Ability to work independently with minimal supervision.7. High level of professionalism and discretion. Strong attention to detail.
