Roles & Responsibility:

Calendar Management:

  • Organize and maintain executive calendars, scheduling meetings, appointments, and travel arrangements efficiently.
  • Prioritize conflicting needs and ensure timely handling of matters, proactively following through on projects to successful completion.

Communication:

  • Screen and manage phone calls and emails, responding to inquiries as necessary.
  • Draft, edit, and proofread correspondence, communications, presentations, and other documents.

Meeting Coordination:

  • Coordinate and prepare materials for meetings, conferences, and presentations.
  • Record minutes and maintain comprehensive records of executive meetings.

Administrative Support:

  • Prepare and manage expense reports, ensuring accuracy and timely reimbursements.
  • Maintain organized office filing systems, ensuring confidentiality and accuracy of records.
  • Procure office supplies and manage inventory to ensure adequate stock levels.

Confidentiality:

  • Handle sensitive information with utmost discretion, maintaining confidentiality at all times.

Travel Arrangements:

  • Arrange travel itineraries, accommodations, and logistics for business trips efficiently.
  • Optimize travel arrangements to meet executive requirements while ensuring cost-effectiveness.

Special Projects:

  • Provide support for special projects and assist other departments as needed.


Desired Skill Set:

  • Master's degree in Business Administration, Secretarial Studies, or related field preferred.
  • Minimum of 1 years of experience as a Personal Secretary or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently with minimal supervision.
  • High level of professionalism and discretion. Strong attention to detail.
