Job Title: Accounts Executive – Receivables & Reconciliation
Department: Accounts
Job Overview:
We are seeking a detail-oriented and proactive Accounts Executive to manage customer receivables, ensure timely collections, and maintain accurate financial records. The ideal candidate will have strong communication skills to follow up on outstanding payments, resolve account discrepancies, and provide clear account statements to clients.
Key Responsibilities:Customer Follow-ups & Payment Collection
- Call and follow up with customers regularly for outstanding invoices.
- Send payment reminders via email, phone, or official letters.
- Maintain a follow-up schedule and keep records of all communications.
Payment Recording & Reconciliation
- Accurately record payments received from customers in the accounting system.
- Match incoming payments against respective invoices and update the system.
- Identify and clear suspense amounts and unallocated payments.
Account Statement Management
- Prepare and share account statements with customers on a monthly or on-demand basis.
- Reconcile account balances and resolve discrepancies with customers.
- Maintain updated and accurate ledgers for all customer accounts.
Reporting & Documentation
- Prepare regular reports on collections, outstanding dues, and aging analysis.
- Maintain documentation for all payment receipts and reconciliations.
- Escalate unresolved or long-outstanding accounts to the Accounts Manager.
Qualifications & Skills:
- Bachelor's degree in Accounting, Finance, or a related field.
- Minimum 2 years of experience in accounts receivable or a similar role.
- Proficiency in accounting software (e.g., Tally, Zoho Books, QuickBooks, or ERP systems).
- Strong skills in MS Excel and Google Sheets.
- Good verbal and written communication skills.
- High attention to detail and ability to work independently.
- Ability to prioritize tasks and manage time effectively.
Preferred:
- Experience in logistics, transport, or a similar operational industry.
- Familiarity with invoice discounting or credit control processes.
