Job Title: Executive Assistant to the Chief Technology Officer (CTO)
Job Summary
The Executive Assistant to the CTO will provide high-level administrative and operational support, ensuring smooth day-to-day management of the CTOs office. The role requires excellent organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced, technology-driven environment. The EA will serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the CTO.
Key Responsibilities
Administrative Support
- Manage the CTOs calendar, appointments, meetings, and travel arrangements.
- Creating MOM reports for each meeting
- Creating Power point presentations
- Draft, review, and manage correspondence, reports, and presentations.
- Organize and maintain confidential files and documents.
- Coordinate logistics for internal and external meetings, including technology team reviews, board presentations, and partner meetings.
Project & Operational Support
- Track and follow up on key projects, deadlines, and deliverables for the CTO and technology team.
- Assist in preparing meeting agendas, minutes, and action item follow-ups.
- Support technology leadership with research, data collection, and preparing reports.
- Collaborate with other departments to ensure smooth information flow between technology and business functions.
Communication & Stakeholder Management
- Act as the first point of contact for the CTOs office, handling inquiries with professionalism.
- Liaise with senior executives, board members, partners, and vendors.
- Draft communications, memos, and official notes on behalf of the CTO.
- Ensure timely communication and alignment across the CTO's team.
Confidentiality & Governance
- Handle sensitive and confidential information with the highest level of integrity.
- Support governance requirements, documentation, and compliance tracking for technology-related initiatives.
Qualifications & Skills
- Graduated candidates only preferred.
- 1+ years of experience as an Executive Assistant, preferably supporting C-suite executives in technology or related industries.
- Excellent organizational, time management, and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in MS Office Suite, Google Workspace.
- Ability to work independently, prioritize effectively, and adapt to changing demands.
- High level of discretion, integrity, and professionalism.
- Familiarity with technology terms, product development processes, or IT project management is a plus.
