Roles and Responsibilities:

  • Screen and answer direct phone calls and distribute correspondence.
  • Handle requests and queries appropriately.
  • Manage diary and schedule meetings and appointments.
  • Make travel arrangements.
  • Organize and schedule appointments
  • Source office supplies.
  • Devise and maintain office filing system.
  • Maintain Discretion and confidentiality.
  • Assist in the preparation of regularly scheduled reports/documents.
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Help to organize and maintain office common areas.
  • Maintain supply inventory.
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Research and create presentations
  • Generate reports
  • Maintain contact lists
  • Produce and distribute correspondence memos, letters, fax and forms
  • Develop and maintain a filing system and office supplies
  • Ensure operation of equipment by completing preventive maintenance requirements
  • Maintaining equipment inventories, evaluating new equipment and techniques
  • Email Management
  • Assisting with Legal documents
  • Basic Accounting knowledge

Requirements And Skills:

  • Proven work experience as a Personal Assistant/Admin Assistant.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines
  • MS Office and English proficiency.
  • Outstanding organisational and time management skills.
  • Up-to-date with latest office gadgets and applications.
  • Ability to multitask and prioritize daily workload.
  • Excellent verbal and written communications skills.
  • Experience with documentation and reporting.
  • Preferred Excel Knowledge or ready to learn
