Position Title: Head Exhibition Operations

Department: Trade Fairs
Reports to: Head of Department, Trade Fairs
Team Reporting to this Role: Operations Team

Eligibility

  • Must have worked with large exhibition centers, trade promotion bodies, or industry-specific apex bodies.
  • Must have end-to-end operations experience for large-scale B2B exhibitions (national and international) covering 60,000 sq. ft. and above.

Role Overview

The Head of Exhibition Operations will be responsible for the end-to-end operational execution of exhibitions and trade shows across India. The role requires a visionary leader who can deliver world-class event experiences while ensuring alignment with organizational business goals and global standards.

Key Responsibilities

  • Lead all operational functions for exhibitions across India, from planning to post-event closure.
  • Design and implement operations strategies aligned with trade fair business objectives and long-term organizational vision.
  • Drive initiatives to enhance brand visibility and operational excellence at all events.

  • Oversee all on-ground operational components including:

  • Stall construction and finishing

  • Exhibit logistics (set-up & dismantle)
  • Registration, shuttle services, signage, and fair guides
  • Engineering services, food courts, parking, and facility readiness

  • Government approvals, vendor management, and on-site logistics

  • Mentor, guide, and develop the operations team, building high-performance capabilities and accountability.

  • Collaborate with internal teams (facility, design, communication, etc.) to ensure seamless execution at international standards.
  • Introduce and implement global best practices from the exhibitions/events industry.
  • Support trade fairs team in stall planning, exhibitor directory compilation, and coordination with domestic/international trade bodies and associations.
  • Monitor and report on key metrics including: PDCA cycles, risk assessment, health & safety compliance, and periodic review audits.
  • Ensure adherence to IMS (Integrated Management System) guidelines and oversee internal/external audits.

Qualifications

  • Graduate degree required; MBA preferred.

Experience

  • Minimum 12 years of relevant experience in exhibition/trade fair/event operations.
  • Proven track record of delivering large-scale B2B exhibitions (60,000 sq. ft. and above) at national and international levels.
