Job Overview: The Vice President - Project Coordinator (Civil & MEP) Retail is a key leadership position responsible for overseeing and managing all aspects of project planning, execution, budget control, quality management, and delivery within the Retail-Real estate division, with a specific focus on overseeing retail development projects across the country. This role involves understanding the vision and design intent of each development and acting as a customer to various project teams developing malls, ensuring the best outcomes from quality, cost, and time perspectives. Reporting directly to the CEO, Retail, the incumbent will lead a team of project management and planning specialists in areas such as budgeting, MEP, quality management, planning, and Fire Life and Safety, based out of the corporate office. The VP - Project Coordinator will liaise with internal and external stakeholders to ensure the successful completion of company projects on time, within budget, and according to quality standards. Notably, the role is focused on managing overall development and planning for upcoming projects from a time and cost perspective, rather than developing individual projects at the site level.
Responsibilities:
Strategic Planning and Execution:
Develop and implement strategic plans and objectives for project management initiatives in alignment with company goals and objectives.
Lead the identification and prioritization of key projects, considering market trends, customer needs, and business opportunities.
Drive the execution of projects from initiation to closure, ensuring adherence to project scope, schedule, and budget constraints.
Budget Control and Financial Management:
Develop project budgets in collaboration with finance teams, ensuring accuracy, completeness, and alignment with project objectives.
Monitor project expenditures and financial performance, tracking budget variances and identifying opportunities for cost savings and optimization.
Implement effective budget control measures, including regular budget reviews, expense approvals, and cost management strategies.
Prepare real-time budget status and flag deviations/escalations .
Team Leadership and Development:
Provide strong leadership and direction to the project management team, fostering a culture of collaboration, innovation, and accountability.
Recruit, onboard, and mentor talented individuals to build a high-performing project management team capable of delivering exceptional results.
Conduct regular performance evaluations, provide constructive feedback, and facilitate professional development opportunities for team members.
Stakeholder Engagement and Communication:
Serve as the primary liaison between project teams and senior management, providing regular updates on project status, milestones, budget, and expenses.
Collaborate with cross-functional teams, including finance, operations, and marketing, to ensure alignment of project objectives and resources.
Cultivate strong relationships with clients, contractors, vendors, and regulatory authorities to facilitate effective communication and resolution of issues.
Project Planning and Control:
Develop comprehensive project plans, schedules, and budgets, considering resource availability, risk factors, and quality requirements.
Monitor project progress against established baselines, identify variances, and implement corrective actions as necessary to mitigate risks and ensure project success.
Conduct post-project reviews to assess project performance, identify lessons learned, and implement process improvements for future projects.
Resource Management and Optimization:
Allocate resources, including personnel, equipment, and materials, effectively to support project activities and maximize productivity.
Collaborate with department heads and procurement teams to identify sourcing opportunities, negotiate contracts, and ensure timely procurement of project resources.
Implement resource optimization strategies to minimize costs, reduce waste, and enhance project efficiency.
MEP Coordination:
Oversee the integration and coordination of MEP services into the overall project plan.
Ensure MEP designs align with project requirements, local regulations, and industry standards.
Coordinate with MEP engineers, contractors, and other stakeholders to resolve technical issues and ensure smooth project execution.
Monitor the installation and commissioning of MEP systems, ensuring they meet quality and safety standards.
Conduct regular site visits to inspect MEP work progress and compliance with project specifications.
Facilitate collaboration between civil and MEP teams to optimize project outcomes and address any conflicts.
Quality Assurance , EHS and Compliance:
Establish and enforce quality standards, policies, and procedures to ensure the delivery of high-quality project outcomes that meet customer expectations and regulatory requirements.
Conduct regular quality inspections and audits to identify areas for improvement and ensure compliance with industry standards and best practices.
Implement corrective actions and preventive measures to address quality issues and prevent reoccurrence.
Qualifications:
Bachelor’s degree in civil engineering, business administration, project management, engineering, or a related field. Master's degree preferred.
Minimum of 20-25 years of experience in project management, with at least 5 years in a leadership role within the retail and real estate industry.
Proven track record of successfully managing complex projects from initiation to closure, delivering results on time and within budget.
Strong leadership, communication, and interpersonal skills, with the ability to influence and collaborate effectively with diverse stakeholders.
Exceptional problem-solving abilities, decision-making skills, and attention to detail.
Proficiency in project management software and tools.
Knowledge of relevant industry regulations, standards, and best practices.
