Assistant to Chief Executive Officer

The ideal candidate for this position will excel if they can keep their calm in a high pressure environment coordinating the logistics of the CEO of the company. The candidate should have some relevant experience to the role that highlights their capability to conduct all administrative work, making sure the CEO's operations run smoothly. Thus, the candidate should be detail oriented and a creative problem solver. 

 

Responsibilities

• Calendar Management: Planning, prioritising and organising all (professional and personal)

meetings, engagements, appointment and commitments, physical and/or virtual of the Managing

Partner.

• Desk Management: Handling correspondence, documents, and files of the Managing Partner

including taking notes, dictations, and preparation of first drafts.

• Travel Management: Planning and organising the end-to-end travel itinerary of the Managing

Partner including handling ticket and hotel bookings and confirmations, visa procurements, web

check-ins, conveyance arrangements, etc.

• Social Media Management: Handling the professional social media accounts of the company

and making the post for special occasion.

• Handling of delegation sheet for delegating the task to concern person in office.

• Preparing and organizing meeting materials

• Taking and distributing meeting minutes

• Creating and managing reports and presentations

• Providing administrative support, such as filing, typing, and data entry.

• Follow up with production's department.

• Handling confidential information and documents

• Managing special events and organising the birthday party.

• Vertical Coordination: Ensuring proactive and result oriented coordination between the

Managing Partner and various Departments i.e. Administration, Human Resources, Information

Technology, Accounts & Billing, Business Development, etc., for work allocation, discussions,

  • deadlines, and deliverables.

Qualifications

  • Bachelor's degree or equivalent experience
  • Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Communication skills, written/verbal
  • Ability to prioritize and meet deadlines Keep information confidential
