Job Title : Executive / Senior Executive –Centralized Documentation - Import Manifest

Department : Service Delivery

Reporting To : Manager – Import Service Delivery

Location : Belapur


Short Brief on role:

This team plays vital role in ensuring that all the Import shipment details Pan India vessels are verified and declared with Customs, Port Authorities within set deadlines to ensure smooth cargo delivery for customer Accuracy in declaration with Customs expected to 100% since even slightest issue leads to huge financial implication

Key Responsibilities:


• Identify vessels on daily/ weekly basis to start Import General Manifest process prior vessel arrival.

• Check or coordinate with respective Port of Loading / Vessel Agents for vessel load list / confirmation. • Extract Bill of ladings from the system and identify the forwarders / SOC parties involved. • Ensue to perform Vessel call closure Reconciliation, BL lock, K4k5 file generation, creation of VVPC in local system.

• Ensure to upload K4K5 file, PML file & HBL’s in local system properly.

• Ensure to modify the Master Bill of Lading and House Bill of Lading as per the requirement of Import General Manifest.

• Ensure to Compare, verify and check BL data properly through local system.

• Co-ordinate with the respective Port of Loading or customers in case of any discrepancy or mismatch.

• Update system with special requests like CFS re-nomination / DPD / SEZ etc. & ensure to collect LOI for the special request from customer.

• Ensure to check e- mails (with Internal / External Customers) daily basis for better co-ordination.

• Ensure to generate EDI & Import General Manifest file (with 100 % accuracy) as per the Custom formats within the time line.

• Ensure to generate Import Advance List, Invoicing Advance List as per the Operations / SSC requirements prior vessel arrival.

• Ensure to generate EDI, IGM, IAL with 100% accuracy within deadline.

• Timely coordination with internal and external Interested parties for smooth work flow.

• Ensure to check whether EDI, IGM, IAL distributed properly to all our External and Internal Interested parties like Customs, VOA, Operations, SSC etc

• Ensure to follow various Service Level Agreements as per company guidelines.


Key Performance Standards:

• Ensure to generate EDI, IGM, IAL with 100% accuracy within deadline.

• Timely coordination with internal and external Interested parties for smooth work flow.

• Flexible to work in a centralized documentation team to prepare Import General Manifest for any Port of Destination

Requirements and Specific Skills:


• Graduate & at least 2years of experience in Shipping Industry.

• Excellent written and verbal communication skills in English. • Should have good computer skills. • Should have good soft skills while coordinating with customers.
