We are looking for a proactive Admin Executive (35 years experience) to manage day-to-day office administration, vendor coordination, facilities, procurement, records, and support HR & operations functions. The ideal candidate is organized, reliable, and able to work independently in a busy, hands-on environment.

Role & responsibilities :

  • Oversee day-to-day office operations: office supplies, vendor management, office maintenance, and facilities.
  • Manage incoming/outgoing correspondence, phone calls, and visitor coordination.
  • Handle procurement of stationery, equipment and liaise with vendors for quotations, orders and follow up.
  • Maintain company records, statutory & non-statutory documents, asset register and file management.
  • Coordinate with HR for onboarding, exits, attendance records, travel bookings and reimbursements.
  • Assist accounts team with invoice collection, petty cash, and basic bill processing.
  • Manage meeting/boardroom bookings, travel & accommodation for staff, and event logistics.
  • Ensure safety, housekeeping and compliance with office policies.
  • Support ad-hoc admin & operations projects as required.

Preferred candidate profile:

  • 3-5 years experience in office administration / admin executive / office coordinator role.
  • Graduate preferred.
  • Good knowledge of MS Office (Word, Excel, Outlook).
  • Strong communication (Hindi & English), vendor negotiation, and basic bookkeeping skills.
  • Proven ability to multitask, coordinate with stakeholders, and meet deadlines.
  • Familiarity with statutory/office compliance basics is a plus.
