Job Description – Contracts and Procurement

• Develop and implement sourcing strategy in line with organizational goal

• Research, compare, evaluate and negotiate potential offers from vendors,

contract terms and pricing

• Lead the cross functional development and implementation of enterprise

procurement solutions

• Responsible for budget development, expense control and/or revenue

generation for the department

• Track orders and ensure timely delivery engaging with logistics service

providers

• Processes –Identify opportunities for improvement to reduce purchase order

and contract cycle time using data driven approach

• Trusted Advisor –Provide direction and guidance to internal stakeholders

answering related questions or issues, while demonstrating a positive attitude

• Review quality, maintain and update records of purchased products, delivery

information and invoices

• Attend trade shows and exhibitions to stay up-to-date with industry needs

• Implement sourcing strategy in line with organizational goal

• Research, compare and evaluate potential offers from vendors, contract terms

and pricing

• Assist inbudget development, expense control and/or revenue generation for

the department

• Track orders and ensure timely delivery engaging with logistics service

providers

• Trusted Advisor –Provide direction and guidance to internal stakeholders

answering related questions or issues, while demonstrating a positive attitude

• Review quality, maintain and update records of purchased products, delivery

information and invoices

• Manage end-to-end activity of the store

• To maintain material inwards register, material release register, inventory stock

register

• Timely communication of inventory status to the planning and execution team

to ensure proper availability of materials

• Prepare regular consumables consumption rate to plan how long the stock will

last before next purchase

• Ensure proper demarcation of areas for stocking different types of products

like inflammable, fragile, chemicals etc

• Ensure proper flow of materials in and out of the store

• Avoid dampness and maintain proper instructions for storage as per the

product manufacturer instructions

• Manage end-to-end contracting activity from drafting of the NIT/Bid Document

till completion of the contract

• Manage team of tendering executives and quantity surveyors for timely

delivery of contract documents for tendering

• Detailed study of drawings and preparation of tentative budget for the

execution in coordination with the planning team

• Assist the execution committee in finalising the contractor, and attend

meetings whenever required

• Describe the contract and tender guidelines to the qualified contractors and

conduct discussions to enable smooth process of tendering

• Coordinating with the consultants to clarify on the drawings shared / missing

drawings / additional drawing requirements to enable smooth process and

completion of BOQ on time

• Monitoring of contractors while work in progress to check for contract

adherence and reporting to the management if any deviation observed from

the contract

• Preparation of detailed BOQ and BOM

• Provide timely inputs regarding quantity and cost for prestart and cost

estimation

• Reconciliation of material and labour during and on completion of the project

• Capturing of expenses and receipt in the system to provide inputs to planning

/finance department for MIS Reports

• Study of drawings / technical specifications

• Compiling executed quantities as per contract terms

• Carrying out daily inspection of measurements

• Identification of deviated item, extra item and giving feedback to project

manager

• Attending Client / PMC meetings as and when required

• Manage end-to-end tendering / bid process

• Preparation of detailed Bid / Tender document with complete details including

specifications, eligibility criteria, terms and conditions etc for sharing to

vendors / contractors

• Preparation of Pre-Qualification criteria for each activity after discussion with

planning, construction and finance department

• Responsible for ensuring tenders are submitted consistently ahead of

deadlines set by the reporting manger / management

• Provide relevant information / clarifications to contractor during the entire

process of tendering

• Make broad technical and commercial summary of requirements and submit to

relevant departments

• Attend pre-tender, Pre-Bid, Technical and Commercial Price Bid opening

meetings

• Preparation of technical and commercial tender analysis report to the

Management

• Document control and maintaining log of document movements

• To share documents with relevant stakeholders as and when

required

• Contractual communications (Time Extension, Contractual Claim

preparations, Vendor Contractual Letters, etc.)
