As a Billing Manager at Ultraconfidentiel Design, you will play a crucial role in managing the company's billing operations, ensuring accuracy, efficiency, and compliance with financial policies.

Qualifications-

  • Educational background in Civil Engineering, with proven experience in managing billing for high-end interior fit-out(Corporate) and MEP projects with a focus on Cost Estimation and Billing.
  • Technical Knowledge of Civil, MEP & Interior works.
  • Strong understanding of construction workflows, project milestones, and billing.

Your responsibilities will include:

  1. Invoicing & Billing Management Oversee the end-to-end billing process, ensuring timely and accurate invoice generation. Verify project milestones and contract terms before raising invoices. Coordinate with project teams to track billable work and ensure compliance with client agreements. Manage progress billing, retention payments, and final invoicing as per contract terms.

  2. Accounts Receivable & Collections Monitor outstanding invoices and follow up on payments to ensure timely collections. Maintain accurate records of client payments and reconcile discrepancies. Work closely with the finance team to provide regular updates on receivables. Address client inquiries related to invoices and resolve disputes promptly.

  3. Coordination with Internal Teams Collaborate with project managers, finance, and legal teams to ensure seamless billing operations. Ensure alignment between project execution, billing milestones, and financial reporting. Support contract management by reviewing billing terms and ensuring compliance with agreements.

  4. Compliance & Documentation Ensure all invoices comply with tax regulations, accounting standards, and company policies. Maintain proper documentation of invoices, payment records, and billing adjustments. Assist in audits by providing necessary billing-related documents and reports.

  5. Process Improvement & Reporting Continuously review and improve billing processes for efficiency and accuracy. Prepare and present billing reports, outstanding dues, and collection forecasts to management. Identify bottlenecks in the billing cycle and propose solutions for better financial management.

  6. Client Communication & Relationship Management Maintain professional communication with clients regarding billing schedules and payment terms. Address any billing concerns proactively to ensure smooth client relationships. This role requires strong attention to detail, financial acumen, and excellent coordination skills to ensure smooth billing operations at Ultraconfidentiel Design.
