The

Manager Operations

is responsible for smooth management of Hostel Administration and Operations function including hostel facilities upkeep and maintenance and Safety & Security premises and stakeholders in the hostel.Fee/SIS related:Oversee the work of the Fee & Student service Assistant in ensuring proper recording of Student Fees, both invoicing and collections, timely and appropriate reconciliations including maintaining accounts of receivables in SIS.Ensure that the fee related data and information is updated at all times and partner with hostel leadership in smooth fee recovery through analysis of the aging reports, jointly strategizing for quicker collections to reduce the receivables.In association with the Head of Hostel, collate and file the annual/bi-annual application for the fee approval to the District Education Offices as required in Telangana/Gujarat and to the PTA as required in Mumbai and coordinate with the Manager – Accounts (Region) for the audited financial information of the unit.Procurement:Oversee the work of the Administration Assistant in procurement matters and ensure transaction due diligence and proper recording of all such local procurement transactions including raising GRNs in the system.Responsible to raise the requisitions in the FIS with proper financial dimensions with the understanding that this would be basis of FIS recordings and efficiency of the system.Budget & MIS related Activities:In close coordination with the Manager – Accounts (Region) assist in preparation of the unit (School/ Hostel/ AKPs) by providing inputs for the Budget including the justification/programmatic needs. The first draft of the budget (including the KPIs) will be vetted and agreed upon, along with the unit head.Support Manager – Accounts (Region) in the MIS related work with the unit KPIs, report on the reasons/justification for the variances and respond for any clarifications/queries/changes/etc.Audit support: Support the Manager – Accounts (Region) to collate and respond to the Internal audit/statutory audit requirements of the unit under review and ensure that the actions arising from the observations are acted upon.Office administration:Will have custodial responsibility to ensure safe custody of all hostel documents, records, files, registers, registrations, approvals, etc. in either physical/soft copy, property and assets, including managing the insurance of these. This includes proper storage, from a safety and easy retrieval perspective.Maintenance/Upkeep:Oversee maintenance of building and various facilities of the hostel such as AMC’s, breakdown work, etc. of all civil work, mechanical and electrical installations; work in close coordination with and under the guidance of the AKES, India Sr. Manager – Facilities & Cap. Project.Security & SafetyShall act as the Safety Focal Point (SFP) of the unit and work in close coordination with the AKES, India Safety & Security Manager.Implement safety and security procedures & SOP as per guidelines provided by AKES, India, ensure readiness for any adverse security threat/situation, safety issues such as (Earthquake, Floods, Fire etc.), by providing necessary & appropriate training to every hostel staff and students such as periodic drills, etc.The requirementsQualifications:At least B.Com degree and working knowledge of Microsoft D365 F&O platform/ any other equivalent ERP environment, preference will be given to higher qualification.Experience:Minimum 5-7 years of Operations experience preferably in education industry.Effective communication and confident personality, excellent interpersonal skills: outstanding in teamwork, ability to work successfully with teams across the organization.This is a local posting based out of India - Hyderabad.SectorSocial Development
