Job Purpose:

Coordinate with HOS, Associate Dean & Deans to ensure to complete the work assigned for School Program Office.

Key Accountability:OperationalERPTo ensure students updation, promotion, demotion activities in ERPTo ensure required updation is done for smooth functioning of academic activities through ERPCoordination with respect to accreditation, rating & ranking related work for DHE , NIRF, AICTE etc. with IQAC Cell & Registrar Office.EXAMINATIONTimely submission of attendance and Internal Continuous Assessment (ICA) report at the end of each trimester to the examinations departmentTo verify result analysis reports of Internal Continuous Assessment (ICA) and Term End Exam. (TEE) - program wise, course wise, & record the rankers information - yearly.DOCUMENTATIONDrafting of Circulars / Notices for students, staff members and arrange to circulate to the concerns.To coordinate with Admission department from time to timeMentoring / counselling / Grievances redressed support to studentsTo coordinate, prepare budget for various students activities like industrial visits, rural immersion, national / international tour/ various events/ FDPs/ seminar/ workshops/ conferences etc.To maintain the records of approved fees, program intake and addition/ deletion of the programs/ Scholarship/ concession etc.To prepare the notes for Requisition school level requirements such as Stationery, Equipment’s, consumables & Refreshments etc & follow ups for procurementTo ensure all the Administrative Offices are functioning as per the standard operating procedure.To prepare and submission of Annual ReportTo collect the reports from the Coordinators of the schools and compile the consolidated report as required by the University authorities from time to timeHRCalculate full time faculty requirement as per the workload/ norms in consultation with HoS and Dean.Calculate visiting faculty requirement as per the workload/ norms in consultation with HoS and Dean & obtain necessary approvals.To assist recruitment process initiated by HRAct as assessing authority for AO non-teaching staffTo coordinate and maintain the record of Leave, Vacation and LWP etc.To facilitate appraisal process for Teaching & non-teaching staff of all schoolsMISCELLANEOUS WORKAny miscellaneous work allotted to your office by the University authorities from time to timeTo coordinate and support for various social initiatives of University/ MAEERTo coordinate for student election process ( CR, LR & Student Council )

Financial and Budget

- Ensure budget pertaining to your areas of function is utilized, optimized and trackedCollaborationsMaintain and build trusted relationships with academic leaders, partners, and stakeholdersAcademicCoordinate with HOS, Asso. Dean & Deans to ensure to complete the work assigned for School Program OfficeCoordinate with all the Coordinators & Assistants of all the schools under respective purview for completion of work assigned for themTo arrange and execute Parents Meeting & keep record of itTo compile the SOPs for the work assigned for Program OfficesTo coordinate to compile the Academic Calendar.Prepare Weekly / Monthly, Trimester & Yearly MIS ReportsCoordinate for faculty feedback & record keepingTo maintain record of academic/ administrative approvalsTo maintain the record of BOS, BOF and academic council meetingsTo submit proposal for starting new program, change in intake, closing of existing program to the Registrar officeTo get the academic and admin. related information on websiteTo coordinate with students for due fees as per fees schedule and reconcile with Accounts and Finance department.To maintain course book (syllabus) copy on year-on-year basisTo issue monthly attendance defaulter lettersTo coordinate with PhD scholars for periodic progress report and presentations.To ensure smooth functioning of visiting faculty appointments, documentations and remuneration processTo administer academic hold in ERP for student with attendance, disciplinary issuesTo verify and confirm students information, promotion, demotion and other related activities in ERPCoordination with respect to accreditation, rating & ranking related work for NBA, Govt. authorities, UGC, AICTE, NIRF, various ranking bodies etc. with IQAC Cell & Registrar Office.

External RepresentationMIT WPU on various professional bodies of repute which is value adding building relationship with the community, government agencies, society at large and with ultimate objective of building MIT WPU brandrepresent the University in suits or proceedings by or against the University, the Registrar shall sign powers of attorney and verify the pleadings.Person Specification
