Job Title: Accounts Payable Specialist

Job Description:

We are seeking an experienced and detail-oriented Accounts Payable Specialist to join our team. The primary responsibilities of this role include invoice processing, managing vendor accounts, and ensuring accurate and timely payments to suppliers. Additionally, this position involves maintaining supplier information and fostering positive relationships with vendors. The ideal candidate will have a strong background in accounting principles, excellent organizational skills, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities:

  • Invoice Processing:
    • Receive and review invoices for accuracy and completeness.
    • Match invoices with purchase orders and receipts.
    • Code invoices to appropriate general ledger accounts.
    • Obtain necessary approvals for payment.
  • Payment Processing:
    • Process payments through various methods, including checks, electronic transfers, and ACH payments.
    • Ensure payments are made within terms to avoid late fees or penalties.
    • Reconcile payments with vendor statements.
  • Supplier Maintenance:
    • Maintain accurate supplier records in the accounting system.
    • Update supplier information as needed, including address changes, contact information, and tax identification numbers.
    • Communicate with suppliers to resolve any discrepancies or issues with invoices or payments.
  • Reporting and Analysis:
    • Prepare reports on accounts payable activities, such as aging reports and cash flow projections.
    • Analyze payment trends and identify opportunities for process improvement.
    • Assist in month-end and year-end closing activities related to accounts payable.
  • Compliance and Documentation:
    • Ensure compliance with company policies and procedures as well as relevant regulations.
    • Maintain proper documentation of invoices, payments, and vendor communications.
    • Assist with audits by providing supporting documentation and explanations as needed.
  • Relationship Management:
    • Cultivate positive relationships with vendors and internal stakeholders.
    • Address inquiries and resolve issues in a timely and professional manner.
    • Collaborate with procurement and other departments to streamline processes and optimize vendor relationships.

Qualifications:

  • Bachelor's degree in accounting, finance, or related field preferred.
  • 2+ years of experience in accounts payable or related accounting roles.
  • Proficiency in accounting software and Microsoft Excel.
  • Strong attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Knowledge of accounting principles and regulatory requirements.
  • Experience with ERP systems (e.g., SAP, Oracle) is a plus.
