As a Sea Export Documentation Executive at Global Logistics, your primary responsibility is to oversee and manage all documentation processes related to sea freight exports. You will ensure the accurate and timely preparation of export documentation in compliance with international regulations and company standards. This role requires strong attention to detail, excellent organizational skills, and the ability to communicate effectively with internal teams and external stakeholders to facilitate smooth export operations.

Key Responsibilities:


Documentation Preparation:

  • Prepare and review export documentation, including but not limited to commercial invoices, packing lists, bills of lading, certificates of origin, and export declarations.
  • Ensure all documentation is accurately completed, in compliance with regulatory requirements, and reflects the terms of the sales contract.
  • Regulatory Compliance:
  • Stay updated on international trade regulations, export controls, and customs requirements to ensure adherence to legal standards and mitigate compliance risks.
  • Verify the accuracy of export documentation, including the correct classification of goods, adherence to Incoterms, and compliance with destination country regulations.
  • Customer Liaison:
  • Act as the primary point of contact for customers regarding export documentation requirements, shipping instructions, and documentation status updates.
  • Collaborate closely with customers to obtain necessary documentation, resolve queries, and address any issues or discrepancies in a timely manner.
  • Logistics Coordination:
  • Coordinate with freight forwarders, carriers, and shipping lines to arrange transportation, container booking, and vessel schedules for export shipments.
  • Monitor the progress of shipments, track containers, and ensure on-time delivery to meet customer requirements and contractual obligations.
  • Data Management:
  • Maintain accurate records of export documentation, shipment details, and transactional information in electronic databases or document management systems.
  • Generate reports on export activities, document status, and shipping performance to support operational analysis and decision-making.
  • Problem Resolution:
  • Identify and resolve documentation discrepancies, shipping errors, or customs issues in collaboration with internal departments and external partners.
  • Proactively anticipate potential issues and implement corrective actions to prevent delays or disruptions in export operations.
  • Process Improvement:
  • Continuously evaluate and optimize export documentation processes, workflows, and systems to enhance efficiency, accuracy, and productivity.
  • Recommend and implement improvements, automation tools, and best practices to streamline operations and drive operational excellence.

Qualifications:

  • Any Bachelor's degree .
  • Proven experience in export documentation and logistics operations
  • Can handle BL Related documentation Booking, SI filing, INTTRA, VGM, Form 13, Odex, All s.lines websites
  • MBL and HBL preparation, execution and issuance
  • Correspondence with s.lines, co-loaders, clients and overseas agents
  • Min 5-10 yrs. experience
