We are seeking a highly organized, multi tasking and detail-oriented executive/senior to join our back office administrative team. The ideal candidate will play a vital role in supporting the operational efficiency of the company by managing various back-office functions.

  • Facilities Management: Oversee day-to-day office operations, ensuring a safe, clean, and productive work environment.   Coordinate with vendors for office maintenance, repairs, and other facilities-related services. Manage office supplies, furniture, and equipment inventory.

  • Procurement: Handle the procurement process for office supplies, equipment, and services. Source and negotiate with suppliers to secure favorable terms and pricing. Maintain accurate records of procurement transactions.

  • Employee Welfare and Events: Coordination and execution of employee welfare initiatives and event celebrations. Assistance to HR, IT and other teams.

  • Overall Efficiency and Flexibility: Successful coordination and execution of diverse responsibilities. Flexibility and effectiveness in handling miscellaneous tasks and ad-hoc requests like travel bookings, premise security, hiring of support staff like peons, drivers, catering & hospitality, infrastructure inventory, stock management, insurance, banking, courier/postage, janitorial, legal, merchandise, stationary, directors personal assistance, guest house management, travel visa, etc.



Requirements
  1. Office Housekeeping management
  2. Peon and Drive hiring along with HR Team as and when needed.
  3. Office Peon and Driver Attendance management 
  4. Office opening / Closing as an when required management
  5. Office Maintenance as needed
  6. Checklist follow-up and completion and its signature from respective owners.
  7. Outside Office Travel, Courier/ Stamp Purchase or any such Purchase as needed.
  8. Do required entries for Inventory and its purchase and management and allocation - Stock Management
  9. House Cleaning and its requirement maintenance from Office peon stay as and when needed.
  10. Documentation of Office Peon files/ Other purchases
  11. VMC/ GEB/ IT Lease-Internet Line Management
  12. Directors and its family document and its related work management
  13. Insurance Data management
  14. Finding Quotes of needs as given from Management and other depts. as per approval and requests.
  15. Travel/ Stay and other management of employees as an when needed
  16. Adhere to Policies and processes as stated and follow strictly the same and  update them as per instructions in timely manner
