Job Summary:

We are seeking a highly motivated and detail-oriented HR Operations Specialist to join our dynamic team. In this role, you will support global HR operations and general operations tasks, with a strong emphasis on utilizing advanced Excel functions and VBA scripting to improve and automate processes. The ideal candidate will have a solid understanding of HR operations, excellent analytical skills, and advanced Excel and VBA proficiency to streamline workflows and enhance efficiency across departments.

Key Responsibilities:

HR Operations:

  • Assist with the administration and execution of HR processes for international teams, including onboarding, offboarding, compensation, benefits, and compliance management across different regions.
  • Ensure the timely and accurate completion of HR-related documentation and reports, working closely with international HR teams to manage regional requirements.
  • Support international HR managers with data collection, employee queries, and updates to employee records in HRIS systems.
  • Monitor and ensure compliance with local labor laws and regulations across multiple jurisdictions.
  • Coordinate international HR programs and initiatives, including employee engagement surveys, training programs, and performance management systems.

General Operations:

  • Collaborate with cross-functional teams to ensure smooth day-to-day operations within the HR department and across the organization.
  • Assist in tracking, managing, and reporting on key performance metrics and operational KPIs.
  • Develop and implement process improvements to optimize operational workflows and increase efficiency.

Excel & VBA Expertise:

  • Build and maintain advanced Excel spreadsheets, including the use of complex formulas, pivot tables, and data analysis tools to track and report on HR and operational metrics.
  • Develop and implement automated workflows using VBA scripting to streamline repetitive tasks, improving productivity and accuracy across HR and operations teams.
  • Create custom Excel-based dashboards and reports that provide actionable insights for HR and operations leadership.
  • Support the creation of operational models and forecasts to assist with budgeting, resource planning, and decision-making processes.

Project Support & Ad Hoc Tasks:

  • Lead or participate in key HR and operations projects, from system implementations to process redesigns, ensuring deadlines and project goals are met.
  • Provide operational support during high-volume periods such as recruitment drives, performance reviews, and compensation planning cycles.
  • Assist with ad hoc reporting and analysis requests from senior leadership.

Qualifications:

  • Experience:
  • 3-5 years of experience in HR operations, general operations, or similar roles with a focus on international HR management.
  • Strong understanding of HR processes and best practices, particularly in a global context.
  • Proven experience with advanced Excel functions (including complex formulas, pivot tables, and data modelling).
  • Strong VBA (Visual Basic for Applications) programming skills for automation and process optimization.
  • Education:
  • Bachelor’s degree in Human Resources, Business Administration, Operations Management, or a related field (or equivalent experience).
  • Technical Skills:
  • Advanced proficiency in Microsoft Excel (including VBA).
  • Familiarity with HRIS systems, such as Workday, SAP SuccessFactors, or similar platforms.
  • Strong knowledge of project management and task-tracking tools (e.g., Asana, Jira, Trello).
  • Other Skills:
  • Excellent attention to detail and organizational skills.
  • Strong analytical mindset with the ability to interpret complex data and generate actionable insights.
  • Ability to work independently and as part of a cross-functional team in a fast-paced, international environment.
  • Strong communication and interpersonal skills, with the ability to manage relationships with stakeholders across various regions.

Preferred Qualifications:

  • Experience working in a multinational or global organization.
  • Familiarity with data privacy and compliance standards in international HR operations (e.g., GDPR, HIPAA).
  • Experience with other automation tools or programming languages (e.g., Python, Power BI, SQL) is a plus.
