Position Overview:
The HR Shared Services Administrator supports the HR team in delivering efficient and streamlined HR administrative services to the business. This role handles day-to-day queries, provides general HR advice, and supports the Team Leader in managing workloads, monitoring performance, and delivering timely advice, guidance, and quality data. Effective administrative support is crucial to the department's smooth operation, ensuring internal customer satisfaction and compliance with legal requirements.
Key Responsibilities:
- Respond to and resolve tier 1 level support to all employee/stakeholders at all levels within relevant HR ticketing system, keeping key stakeholders updated on the status of tasks
- Coach managers and employees to use Tier 0 tools where available, and educate on Unit 4, and other HRIS related systems, processes and user guides
- Provide entry level policy advice to line managers and supporting vanilla ER queries. Escalate to HRSS officer and team leader or more senior members of the team when appropriate
- Lead on all pre-employment processes including but not limited to, the production of all new hire documentation such as contracts, offer packs with the relevant documentation for each entity and hire, dependent on role and right to work checks.
- Data entry and data maintenance in Unit 4 ERP or other business systems, completing payroll instructions, and other employee correspondence.
- Data entry and data maintenance in relation to all employee information, championing data integrity and utilizing the system to its full capability. Ensuring adequate controls in place to reduce errors. Ensure appropriate internal procedures and controls are in line with best practice HR.
- Utilize HR systems and tools effectively to ensure tasks are completed within required timescales.
- Provide support on the reporting of issues, including the pre-employment screening processes and escalates situations as appropriate when in doubt.
- Support various HR projects, contributing to sustained operational effectiveness by recommending and implementing continuous improvements.
- Actively support management in the identification and implementation of continuous service improvement initiatives within HR Shared Services e.g. suggesting enhancements to Intranet / Help pages to reduce queries or improvements to working practices
- Deliver high-quality and consistent service to all internal customers and partners, following Standard Operating Procedures.
- Ensure compliance with employment law and stay updated with developments in employment legislation.
- Administer employee benefits and ensure timely communication and compliance.
- Pre-Employment Process support and manage accurate employment documentation.
- Ensure timely and compliant completion of right to work and background checks
- Efficiently resolve Tier 1 Support tickets ensuring all stakeholders are updated on task statuses.
- Effectively coach managers and employees on using Tier 0 tools, Unit 4, and other HRIS systems, processes, and user guides.
- Data Entry and Maintenance in Unit 4 ERP and other business systems, ensuring data integrity
- Utilize HR systems effectively and help in analyzing basic reports
- Perform any other duties appropriate to the role.
Qualifications:

- Previous experience of working in an HR administrative role is desirable
