Role Summary

The Supply Chain and Operations Manager is responsible for managing the end-to-end supply chain, from procurement to product delivery, with a focus on both B2B and B2C channels. This role ensures the seamless flow of goods and services by overseeing inventory, order fulfillment, logistics, and vendor relationships. Additionally, the role involves managing orders from the company’s Wix website and B2B sales channels, utilizing software like Zoho and Excel, and coordinating shipments through platforms like Shiprocket.


Key Responsibilities


1. Inventory Management

  • Monitor Inventory Levels: Regularly check stock levels to ensure products and components are available to meet demand across all channels.
  • Reorder Stock: Create and issue Purchase Orders (POs) when stock reaches reorder levels, considering both B2B and B2C requirements.
  • Inventory Accuracy: Conduct periodic inventory audits to reconcile physical stock with system records, utilizing software like Zoho Inventory.


2. Purchase Order (PO) Management

  • Supplier Coordination: Work closely with suppliers to ensure timely delivery of materials.
  • PO Creation: Generate POs based on inventory needs and product demand forecasts.
  • Receiving Goods: Oversee the receiving process, ensuring all materials are checked for quality and accuracy against the PO.
  • Record Keeping: Maintain accurate records of all purchases and inventory movements using Zoho or Excel for tracking.


3. Order Management

  • Wix Website Order Management:
  • Order Processing: Monitor and manage orders placed through the Wix website.
  • Data Integration: Ensure orders from the Wix platform are synced with your inventory management system (e.g., Zoho) to maintain accurate stock levels.
  • Fulfillment: Coordinate the fulfillment of these orders, including packaging and shipping, ensuring timely delivery to customers.
  • B2B Sales Channel Order Management:
  • Sales Order (SO) Creation: Convert accepted B2B quotations into Sales Orders (SOs) in Zoho or another CRM.
  • Customization Coordination: Manage any special requirements for B2B orders, such as custom packaging or branding, through Work Orders (WOs).
  • Fulfillment: Ensure bulk orders are processed efficiently, coordinating with logistics partners for timely delivery.


4. Work Order (WO) Management

  • WO Creation: Generate Work Orders (WOs) for the assembly, packaging, and customization of products.
  • Technician Coordination: Assign WOs to technicians and ensure they have the necessary resources to complete tasks.
  • Quality Assurance: Monitor the quality control process to ensure all products meet specifications before dispatch.


5. Order Fulfillment & Logistics

  • Shipment Coordination Using Shiprocket (or Equivalent):
  • Platform Integration: Integrate Shiprocket or an equivalent shipping platform with your order management system (e.g., Zoho) to automate shipping processes.
  • Rate Comparison: Use the platform to compare shipping rates across different carriers to select the most cost-effective option.
  • Label Generation: Generate shipping labels directly from the platform for both B2B and B2C orders.
  • Tracking & Updates: Monitor shipments through the platform, providing customers with tracking information and updates.
  • Issue Resolution: Manage any delivery issues or delays, coordinating with the shipping carrier through the platform.
  • Shipping Documentation: Ensure all shipping documents are accurate and accompany the shipments.
  • Delivery Tracking: Monitor deliveries to ensure they are completed on time, and resolve any issues that arise during transit.


6. Vendor & Supplier Management

  • Vendor Relationships: Build and maintain strong relationships with suppliers to ensure the best pricing, quality, and reliability.
  • Negotiations: Negotiate terms and contracts with suppliers, focusing on cost savings and quality improvements.
  • Performance Review: Regularly assess supplier performance and take corrective actions if necessary.


7. Process Improvement

  • Workflow Optimization: Continuously assess and improve operational processes to increase efficiency and reduce costs.
  • Technology Integration: Utilize software like Zoho for inventory, CRM, and order management to streamline operations. Incorporate shipping platforms like Shiprocket for efficient order fulfillment.
  • Data Analysis: Use Excel to analyze data, identify trends, forecast demand, and make informed decisions about inventory and production.


8. Team Management & Coordination

  • Team Leadership: Lead, train, and mentor the operations team, including technicians and warehouse staff.
  • Daily Briefings: Conduct regular meetings with the team to review tasks, address challenges, and update progress on WOs.
  • Performance Monitoring: Track the performance of the operations team, providing feedback and addressing any issues that may arise.


9. Reporting & Documentation

  • Operational Reports: Prepare and submit regular reports on inventory levels, order status, and supplier performance to the CEO/Founder.
  • Documentation Maintenance: Ensure all operational documentation (POs, SOs, WOs, shipping documents) is accurate, up-to-date, and properly filed.
  • Compliance: Ensure all operations comply with company policies, safety standards, and regulatory requirements.


10. Software & Technical Proficiency

  • Zoho Software: Proficient use of Zoho for inventory management, CRM, and order processing.
  • Excel Mastery: Advanced Excel skills for data analysis, inventory tracking, and reporting. Ability to create and maintain complex spreadsheets that drive operational decisions.
  • Shipping Platform Expertise: Proficient in using Shiprocket or an equivalent shipping platform to manage logistics, track deliveries, and resolve shipping issues.


Qualifications & Skills


  • Experience: 2+ years in supply chain or operations management, preferably in a manufacturing or e-commerce environment.
  • Education: Bachelor’s degree in Business, Supply Chain Management, or a related field.
  • Skills: Strong organizational skills, attention to detail, ability to manage multiple tasks simultaneously, excellent communication, and leadership abilities.
  • Technical Proficiency: Experience with Zoho software (or similar), advanced Excel skills, and familiarity with shipping platforms like Shiprocket.
