Role Description

This is a full-time on-site role for a Dispatcher. The Dispatcher will be responsible for overseeing the daily operations of the dispatch department, ensuring timely and efficient delivery of goods, managing dispatch personnel, updating shipment statuses, and communicating with customers and carriers for resolving any issues.


  1. Coordinate Communication: Serve as the primary point of contact for incoming calls and emails from clients, drivers, and other stakeholders. Relay information accurately and efficiently to ensure smooth communication flow.
  2. Assign and Schedule Drivers: Organize and allocate transportation assignments to drivers based on availability, proximity, and workload. Develop efficient routes to optimize delivery times and minimize fuel costs.
  3. Monitor Operations: Keep track of driver locations, progress, and any potential delays or issues that may arise during transportation operations. Utilize GPS tracking systems and other monitoring tools to maintain real-time awareness of fleet activities.
  4. Problem Solving: Act swiftly to address any unexpected challenges, such as traffic congestion, vehicle breakdowns, or customer complaints. Collaborate with drivers and management to find solutions and minimize disruptions to service.
  5. Maintain Records: Document all incoming requests, dispatch activities, and relevant communications in a detailed and organized manner. Ensure accuracy and completeness of records for reporting and analysis purposes.
  6. Ensure Compliance: Adhere to industry regulations and company policies related to transportation operations, safety standards, and customer service protocols. Verify that drivers possess necessary licenses and certifications.
  7. Customer Service: Provide excellent customer service by responding promptly to inquiries, resolving issues, and keeping clients informed about the status of their shipments or deliveries. Handle customer concerns with professionalism and empathy.
  8. Team Collaboration: Work closely with other dispatchers, supervisors, and departments within the organization to coordinate resources effectively and achieve operational goals. Foster a collaborative and supportive work environment.
  9. Continuous Improvement: Identify areas for process improvement and efficiency gains within the dispatching function. Propose and implement initiatives to streamline workflows, enhance productivity, and optimize resource allocation.
  10. Emergency Response: Act decisively in emergency situations, such as accidents, severe weather, or other unforeseen events affecting transportation operations. Follow established protocols to ensure the safety of drivers and minimize risks.
  11. Training and Development: Assist in the training and onboarding of new dispatchers or drivers as needed. Share knowledge and best practices to support professional growth and ensure consistency in dispatching procedures.
  12. Stay Updated: Stay informed about industry trends, technology advancements, and regulatory changes relevant to transportation and logistics. Attend training sessions and participate in professional development opportunities to enhance skills and knowledge.


Qualifications

  • Strong organizational and communication skills
  • Ability to manage and lead a team
  • Proficiency in transportation management systems and dispatch software
  • Experience in logistics or transportation industry, particularly in dispatch functions, is preferred
  • Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or related field is preferred


Relevant skills and qualifications that would be beneficial include time management, problem-solving, analytical skills, attention to detail, and an understanding of international shipping regulations. The candidate should also demonstrate the ability to thrive in a fast-paced, high-pressure environment.
