Front Desk Receptionist

Job Overview:
Little Buds Montessori School is seeking a friendly, organized, and proactive Receptionist to manage the front desk and provide administrative support. As the first point of contact for parents, visitors, and staff, the ideal candidate will maintain a welcoming and efficient front office environment, ensure effective communication, and assist with day-to-day clerical tasks.

Reports to: School Administrator
Key Responsibilities:
Front Desk Management:
- Greet visitors, parents, and students with a warm, professional demeanor.
- Ensure the front office area is neat, organized, and conducive to a welcoming environment.
Communication:
- Answer and direct phone calls, respond to inquiries, and transfer calls to appropriate staff members.
- Provide general information about the school, programs, and policies to visitors and callers.
Record Keeping:
- Maintain student and staff records, including attendance, contact information, and other administrative documents.
- Ensure accurate tracking of inventory, supplies, and other office resources.
Scheduling:
- Coordinate appointments for staff, manage meeting schedules, and assist with the organization of school events.
- Assist in the planning and communication of parent-teacher meetings and other important school functions.
Support for Staff:
- Provide administrative support to teachers and staff, including photocopying, filing, and distributing materials.
- Assist in preparing materials for lessons, workshops, and events as requested by staff.
Maintaining Office Supplies:
- Monitor office supply levels, including stationery and other necessary materials, and place orders as needed to ensure the front office runs smoothly.
Follow-up on Leads:
- Handle inquiries from potential new students or parents, gather relevant information, and follow up with leads to assist in the enrollment process.
Qualifications:
- Previous experience in a receptionist or administrative role, preferably in an educational setting.
- Strong communication skills, both verbal and written.
- Excellent organizational and multitasking abilities.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and basic office equipment.
- Friendly, approachable, and customer-service oriented.
- Ability to maintain confidentiality and manage sensitive information.
Preferred Qualifications:
- Experience working in a Montessori or school environment.
- Familiarity with school record-keeping systems and procedures.
Working Hours:
- 9 AM to 3PM
