Project context :

As part of the PMO team, the Jira/Confluence Specialist will transform our current use of these tools into a structured, efficient, and well-documented system. This role is aimed at enhancing ticket management, documentation, onboarding, and collaboration processes to directly support PMO objectives and continuous process improvement.

Project roles and responsibilities

- Tool Administration & Optimization :

- Administer and configure Jira and Confluence to support effective ticket tracking, task management, and process documentation.

- Customize workflows, dashboards, filters, and Confluence spaces to align with project and reporting requirements.

- Support basic integrations with other tools (e.g., Power BI or productivity tools) when applicable.

Maintenance & Process Improvement :

- Maintain and continuously enhance Jira and Confluence, supporting current projects and smaller-scale initiatives (e.g., ticket creation, new Confluence pages, and workflow enhancements).

- Identify opportunities to streamline processes through standardization and improved procedures, acting as a methodology expert.

- Assist in report extractions and data handling for project support across systems.

User Support, Onboarding, and Training :

- Provide daily support to users, including troubleshooting, onboarding assistance, and ongoing training initiatives.

- Schedule and support training sessions, meetings, and other events to maximize tool usage across the PMO.

PMO Integration & Future Tool Adoption :

- Work closely with the PMO team to ensure that tool enhancements align with overall PMO strategies and operational goals.

- Act as the liaison between technical configuration and business needs, promoting the adoption of future tools (e.g., BPMN Modular).

Goals and deliverables :

Requirements :

- Minimum 6 years of hands-on experience in Jira and Confluence administration in project or program management environments.

- Strong understanding of Jira workflows, permissions, custom fields, and Confluence architecture (pages, templates, macros).

- Ability to translate business requirements into practical tool solutions.

- Excellent problem-solving and communication skills with experience supporting distributed teams and agile or hybrid methodologies.
