Role OverviewAs the first point of contact, the

Receptionist

will be responsible for handling incoming calls, greeting visitors, and providing basic customer support. This role ensures smooth communication within the company and enhances customer experience by addressing inquiries efficiently.

Key ResponsibilitiesFront Desk & Visitor ManagementGreet walk-in customers and visitors, ensuring a warm and professional welcome.Direct visitors to the appropriate team members or departments.Maintain a tidy and organized reception area to reflect a professional image.Call Handling & Customer AssistanceAnswer all incoming calls professionally and courteously.Provide general information about services, free inspections, and basic processes.Determine the purpose of each call and identify whether the caller is a new or existing customer.Handle basic inquiries, such as inspection booking procedures, pricing information, and contact details.Call Transfer & CoordinationIf the caller is an

existing customer , transfer them to the assigned

Customer Service Officer (CSO)

handling their case.If the CSO is unavailable or the inquiry relates to a different area (e.g., technical support, installation team), ensure the call is directed to the appropriate team.Communication & Call LoggingLog call details, including caller names, contact information, and nature of the inquiry.Relay messages to the appropriate staff members if a direct transfer is not possible.Notify the CSO team of missed calls and follow-up actions needed for specific customers.Administrative SupportAssist the CSO team in managing high call volumes and prioritizing urgent inquiries.Perform light administrative duties, such as scheduling appointments and maintaining basic records.
