Office Account Assistant Job Summary:
The Office Account Assistant plays a crucial role in providing administrative and financial support to the office or organization's accounting department.
This position involves various tasks related to bookkeeping, data entry, and financial record maintenance. The Office Account Assistant works closely with accountants and financial managers to ensure accurate and efficient financial operations.Key Responsibilities:
Data Entry:
Input financial data into accounting software or spreadsheets. Ensure accuracy and completeness of data. Maintain electronic and paper records.
Invoicing and Billing:
Generate invoices for clients or customers. Verify invoice accuracy and resolve discrepancies. Track and follow up on unpaid invoices.
Expense Tracking:
Record and categorize expenses. Reconcile expenses with receipts and statements. Assist in tracking budgetary expenses.
Bank and Cash Transactions:
Prepare bank deposits. Reconcile bank statements with financial records. Monitor cash flow and petty cash.
Financial Reports:
Assist in preparing financial reports (e.g., balance sheets, income statements). Compile data for monthly, quarterly, and annual financial statements. Provide support during audits as needed.
Vendor and Supplier Relations:
Maintain records of vendor and supplier invoices. Ensure timely payment of bills. Resolve billing discrepancies and issues.
Communication and Documentation:
Communicate with internal teams, clients, and vendors regarding financial matters. Maintain organized documentation for easy retrieval and reference.
Administrative Support:
Assist with general office tasks as needed, such as filing, photocopying, and answering phones. Collaborate with team members on special projects.
Compliance and Regulations:
Stay updated on relevant financial regulations and accounting standards. Ensure compliance with company policies and procedures.
Qualifications:
High school diploma or equivalent; some college coursework in accounting or related field is a plus. Proven experience in office administration, finance, or bookkeeping. Proficiency in using accounting software and Microsoft Office applications (e.g., Excel, Word). Strong attention to detail and numerical accuracy. Excellent organizational and time management skills. Effective communication and interpersonal abilities. Basic knowledge of financial principles and accounting practices. Ability to work independently and as part of a team. Familiarity with relevant regulations and compliance standards is a plus.
