Oversee, manage, and coordinate two projects, AI Internal and LLM Evaluation projects under the pillar of Editorial and Internal. Have experience in Agile methodologies and possess strong organizational and communication skills. This role involves managing day-to-day tasks such as facilitating sprint meetings, maintaining Azure DevOps (ADO), providing project updates, and ensuring the successful delivery of both projects. Hands-on experience in tools like Advanced Excel, Power BI, Azure DevOps (ADO), OneNote, and MyTime/Ensemble to create and maintain these reports and dashboards. Good to know Datadog, and GitHub for reading the data.
Responsibilities:
- Create, manage, and maintain Azure DevOps (ADO) boards, backlogs, and sprints for both projects.
- Facilitating daily stand-up meetings, sprint planning, sprint reviews, and retrospectives.
- Communicate project status, milestones, key learnings, and issues to stakeholders and leadership.
- Prepare and distribute regular project updates, KPIs, reports, and dashboards.
- Collaborate with cross-functional teams to coordinate efforts and ensure alignment.
- Manage resource allocations for both projects, ensuring the optimal utilization of team members' skills and time.
- Coordinate with department managers or resource managers to address any resource constraints or conflicts.
- Monitor and adjust allocations as needed to support project priorities and timelines.
- Maintain a system for team members to log their time spent on project activities.
- Review and analyze time logs to track project progress, identify trends, and optimize time management.
- Provide regular feedback and guidance to team members on time-logging practices.
- Facilitate regular OKR/KPI review meetings to assess progress, identify areas for improvement, celebrate achievements, and capture KPIs monthly.
- Ensure alignment of OKRs/KPIs with project goals and organizational objectives.
- Collaborate with team members to work on the Labs Weekly demos which must be engaging, informative, and tailored to the audience's needs.
- Write and publish blog posts related to project updates, lessons learned, risks and mitigation, etc. (Optional)
- Creating training plans and matrices for projects.
- Maintain and update the database in ADO with accurate resource allocation information.
- Develop and enhance the Power BI dashboard to visualize resource allocation metrics and trends.
- Develop, configure, and optimize the Power Virtual Agent chatbot to provide self-service access to allocation data and insights.
- Facilitate the allocation meetings (1 meeting left in Q3/Q4) to take details from the stakeholders and update the allocations accordingly in ADO.
- Prepare regular Excel and Power BI reports on My Time data to support resource planning, project scheduling, and performance evaluation.
- Identify insights and trends in time-tracking data to improve efficiency and productivity.
- Compile and analyze MyTime reports to track team members' time allocation and utilization.
- Evaluate and recommend improvements to existing tools and reporting systems to enhance efficiency and usability by streamlining and automating reporting processes using tools such as Power Automate.
- Collaborating with PMO and Business Operations team to work on Resource and P and L planning tools.
- Design and create interactive dashboards and reports using Power BI to visualize key performance indicators (KPIs) and project metrics.
- Utilize advanced Excel functions and formulas to manipulate and analyze large datasets effectively.
- This role involves managing and creating/developing various business operations reports, including finance reports, MyTime reports, planning, and resource allocation tools.
- Have a strong background in data analysis, finance reporting, and project management tools.
- Hands-on experience in tools like Advanced Excel, ServiceNow (only for downloading data), Power BI, Power Automate, and Power Virtual Agents to create and maintain these reports and dashboards.
