Shift: Night 7:00 PM IST TO 4.00 AM IST

Position Summary

SanQuest, Inc. is looking for a proactive, detail-oriented, and process-driven HR Coordinator to assist in managing consultant onboarding, documentation, training, and compliance operations. ensuring that all onboarding and placement processes are executed efficiently, accurately, and in full compliance with company and regulatory standards.

The ideal candidate will possess excellent communication skills, a strong sense of accountability, and the ability to collaborate across multiple departments — including Sales, Operations, and Finance — to maintain seamless coordination and workflow integrity.



Key Responsibilities

1. Onboarding & Documentation (3–4 Years of Experience)

  • Coordinate end-to-end onboarding of consultants, ensuring timely completion of documentation.
  • Collect, verify, and maintain all consultant records including ID, work authorization, and training agreements.
  • Ensure compliance with internal onboarding procedures and audit requirements.

2. Compliance Coordination (2–3 Years of Experience)

  • Oversee consultant documentation related to OPT/STEM, SEVIS, and DSO communications.
  • Track and maintain updated I-20s and compliance files for all active consultants.
  • Support HR Lead in ensuring full adherence to company and USCIS standards.

3. Training & Evaluation Support (2–3 Years of Experience)

  • Track consultant participation and completion of training sessions.
  • Distribute and collect training feedback forms; maintain proper evaluation records.
  • Assist in generating marketing agreements post-training and monitor consultant readiness for placement.

4. Placement & Staffing Documentation (2–3 Years of Experience)

  • Coordinate with Sales POCs to collect offer confirmation details (client, vendor, project start date, pay rate).
  • Prepare and issue staffing agreements for consultants; ensure proper review and approval workflows.
  • Maintain centralized records of all signed agreements and placement documents.

5. Post-Placement & Finance Coordination (2–3 Years of Experience)

  • Gather paystubs and work-hour confirmations from consultants’ post-placement.
  • Share verified data with the finance team for processing deductions.
  • Support reconciliation and maintain transparent coordination between HR and Finance departments.



Qualifications

Master’s degree in Human Resources, Business Administration, or a related field.

  • 4–5 years of experience in HR coordination, onboarding, or staffing operations (IT staffing industry preferred).
  • Strong understanding of OPT/STEM compliance, consultant documentation, and HR processes.
  • Excellent verbal and written communication, follow-up, and record management skills.
  • Proficiency in MS Office (Excel, Word, Outlook) and Google Workspace tools.
  • Ability to multitask, prioritize, and maintain confidentiality in a fast-paced, team-oriented environment.
