The Global Services Finance organization provides outstanding, efficient financial services, and compliance—in a J&J way—to our Operating Companies around the world.

Following the successful set-up of the new hub in Bangalore, this position will be in Bangalore working with the Global Services Finance team.

You will provide full administrative support to the A2R Finance Director

  • Global Services by handling a wide range of executive support, administrative tasks as well as supporting the overall smooth functioning of the 150+ J&J staff.

Key Responsibilities:

  • Coordinate onboarding of new starters, organisation of induction week and activities around leavers.
  • Build strong connection with IT, HR, Site and facilities team in supporting the smooth functioning of the team
  • Be the 'Go to' person for team members by helping them with queries and issues
  • Create and maintain purchase orders for contractors, services, nonIT and admin materials
  • Records Retention Coordinator
  • End to end accountability for the coordination of internal meetings, including large departmental meetings, regional and global meetings and leadership visits.
  • Organise large offsite and onsite team events, including venue selection, activities, catering
  • Manage Calendar requiring interaction with both local and global teams.
  • Recognize/communicate priorities and provide solutions. Anticipate and proactively prevent issues to ensure maximum effective time use.
  • Assistance in travel arrangements and preparation of expense reports
  • Assistance with different HR processes within the GS organization.
  • SharePoint and other tools' coordination.
  • Identify and implement innovative team building opportunities for team
  • Maintain organisation charts and holiday planners
  • Coordinate Knowledge shares
  • Know and adhere to the Johnson & Johnson Code of Business Conduct and all other requirements relevant to the role and demonstrate behaviors consistent with Our Credo values
  • Management of team's office supplies and incidentals
  • Other various administrative tasks

Qualifications:

Experience / Skills / Qualifications:

  • Higher education qualification or equivalent is preferred
  • Experience of VP/Executive level support (high preferred)
  • Evidence of strong administrative skills (i.e. diary management, travel, correspondence, expenses etc.) essential
  • Excellent communication skills (verbal and written) essential
  • Experience with juggling priorities and excellent organisation skills essential
  • Ability to build and maintain strong working relationships with other teams (Finance, HR, IT etc.)
  • Confident/advanced experience of Microsoft Office software (MS Word, Outlook, Excel, PowerPoint, etc.) and basic IT knowledge required
  • Experience with Concur Expenses Reporting, Ariba PO Processing, SharePoint Site Administration and / or similar systems is desirable
  • Proactive, selfmotivated mindset
