What we are looking for:
You need to provide administrative support to the Facilities Team. You need to ensure timely and accurate completion of FM reports.

This role will be part of the Regional Finance team in (region/country) and will assist with invoicing, vendor payments and accruals for the region.

You will also partake in process improvement reviews and any ad hoc projects as assigned.

On an Avg 300 invoices are processed and coordinated with AP team for timely vendor payment, raise PR's and follow-up with approvers to issue PO to vendors (On an Avg 10 PRs per month).

Manage vendor contracts and do the renewals before the contracts expire.

Role and Responsibilities:

Facility Management Operations

  • Vendor / Supplier management
  • Vendor. Contract Management
  • Manage Suppliers performance that is vendor performance management
  • Prepare comparative pricing, do bid analysis, Rate analysis
  • To manage the YOY savings
  • Manage the P2P (process to pay) on daily basis maintain tracker
  • Compliance check on Manpower suppliers
  • Operational deliveries to be met while managing P2P
  • Suppliers connect to understand their innovative approach, business solutions, diversity encouragement

Supplier registration

  • Developing and implementing sourcing strategies
  • Responsible for all the sourcing managing activities that we do at several sites across different countries.
  • Delivering our sourcing plans in a consistent manner is critical to the job. Finding ways to reduce the complexities in our
procurement operations without sacrificing our performance or our preferences—is also part of the role. Simply put, your job is to

make sure we continue to deliver value to our customers by coming up with sourcing plans that balance the business's needs,

company risk, and supply market capability.

Basic Qualifications:

  • Bachelor or Master's degree or related fields.
  • At least 4+ years of experience in software development.
  • Working closely with key stakeholders, you'll collate details regarding the requirements of every category (e.g., spend, demand,
supplier performance and service requirements), and record them in a logical format. Looking after our relationship with suppliers,

you'll help in resolving escalated supplier issues and developing the appropriate supplier management and performance metrics.

  • You will assist in communicating clear timelines, ownership, objectives & guidelines.
  • You will guide local finance teams towards completing budget, operating reviews and forecast activities in an accurate, consistent
and timely fashion.

Records & Reports Management

  • To update & maintain all expenses related to FM operations
  • To ensure monthly reports on FM expenses are prepared and sent to the Facility Manager.
  • All record po raised details in quarter
  • All MIS related to soft services are submitted to FM on daily, weekly, monthly basis
  • All leases are reviewed / tracked and lease renewals should be taken up with facility manager
  • All contracts should be tracked and renewal of contracts should be taken up as and when required
  • Obtain NDC from all the vendors
