The Opportunity:

This role will provide monthly reporting to the head of facilities and senior leaders on your assigned regions policies & procedures, ensuring operational administration support for vendor documentation (maintenance, catering, security, cleaning, and plant equipment etc.) is in place and to global standard. Also, assisting with special projects.

 

You are great at:

  • Ensure general upkeep of the office environment and premises, liaising with the office management team flagging any concerns.

  • Ensure Health and Safety checks are up to date and documented in line with our global reports.

  • Review and manage respective areas of the operations budget on a quarterly basis as assigned by the Head Operations Manager.

  • Create, implement, and manage relevant regional policies and procedure workflows to ensure efficiency is met, rolling out new initiatives and processes, as required and approved.

  • Ensure accurate recording of the office management teams for your regions office expenditures, invoices, and contracts monthly are logged and correct.

  • Owner of the Facilities Contract Register for your regions ensuing office management teams are keeping them up to date.

  • Assist in vendor relationship management where office managers need assistance or sign off.

  • Actively question methods and processes to assist with streamlining global efficiencies.

  • Supervising multi-disciplinary teams of staff including cleaning, maintenance of infrastructure , grounds and security

  • Ensuring that basic facilities, such as power, water, AHU are well-maintained

  • To organize corporate events & activities.

  • Build relationships with key stakeholders in the organization and external partners.

  • To co – ordinate with transport vendors for pick & drop facilities for employees

  • Ensure Facility Policy Manuals are kept up to date.

  • Manage the Facility Lead for your assigned regions to ensure general issues and fixes are complete within the relevant offices

  • Ensuring that facilities meet government regulations and environmental, health and security standards

  • Attend and adhere to reporting to include timely updates to logs and senior management.

  • Own and support all Compliance audits

What it takes:

  • 12+ years of experience in facilities function preferably in MNC’s with bachelor’s degree

  • Engineering/Diploma in Electrical will be an added advantage.

  • Certification/courses in facilities management will be an added advantage

  • Excellent MS Office knowledge, especially Outlook, PowerPoint and Excel

  • Outstanding organizational and time management skills

  • Familiarity with office gadgets and applications

  • Excellent verbal and written communications skills

  • Ability to maintain Discretion and confidentiality.

  • Proven track record in communication and influencing skills, in person and in writing, decision-making,

  • The ability to lead and manage teams and projects.

  • Attention to detail but also the ability to see the implications for the bigger picture.

  • Organisation, time management, prioritizing and the ability to handle a complex, varied workload.
