Job Overview:
We are seeking a highly organized and proactive Executive Assistant to support our CEO. The ideal candidate will possess exceptional communication skills, demonstrate a high level of professionalism, and have a proven ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Administrative Support:
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Coordinate and manage executive communications, including taking calls, responding to emails, and interfacing with clients.
Meeting Coordination:
- Organize and coordinate meetings, including preparing agendas, materials, and meeting minutes.
- Assist in the preparation of presentations and reports for executive meetings.
- Facilitate the smooth running of meetings and follow-up actions.
Travel Management:
- Arrange detailed travel plans, itineraries, and agendas for both domestic and international trips.
- Ensure all travel arrangements are cost-effective and align with the company’s travel policies.
Project Management:
- Assist the CEO in managing various strategic projects and initiatives.
- Track progress, deadlines, and deliverables to ensure projects are completed on time.
- Conduct research and provide analysis to support decision-making.
Relationship Management:
- Act as a liaison between the CEO and internal/external stakeholders.
- Build and maintain positive relationships with key stakeholders, clients, and partners.
- Handle confidential information with discretion and professionalism.
Office Management:
- Oversee the general administrative activities of the executive office.
- Ensure the office environment is well-maintained and supplies are stocked. Support other administrative staff as needed.
Qualifications:
- Education: Bachelor’s degree in Business Administration, Communications, or a related field.
- Experience: Minimum of 5 years of experience as an executive assistant or in a similar role, preferably in the FMCG industry.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality.
- Exceptional interpersonal skills and the ability to interact with senior executives and stakeholders.
