Job Position : Assistant Asset Manager


We are seeking a dedicated Assistant Asset Manager to handle management of commercial real estate assets which includes medical and retail tenants. Key duties include maintaining vendor relationships, ensuring compliance, managing lease renewals, repairs and maintenance issues, and providing project updates. This role requires excellent organizational and communication skills, attention to detail, and experience in property management, maintenance coordination, and project management.

Our portfolio includes commercial retail properties, medical buildings, daycare facilities, single-family residents and commercial land across the country.


Assistant Asset Manager Summary


The Assistant Asset Manager will handle tenant relations by promptly addressing repair and maintenance requests and coordinating with vendors for effective resolution. They will maintain vendor relationships, negotiate contracts, and evaluate performance. Responsibilities include onboarding new properties, ensuring compliance, managing lease renewals, and overseeing small to medium-sized remodel projects. Regular project updates to management and maintaining open communication with tenants are crucial. The ideal candidate must have strong organizational and communication skills, attention to detail, and experience in property management, maintenance coordination, and project management.


Salary: 6-10 LPA


Key Responsibilities:


1. Tenant Relations:

  • Receive, prioritize, and respond to tenant repair and maintenance requests promptly.
  • Coordinate with maintenance staff and external vendors to ensure timely and effective resolution of issues.
  • Track and document all repair and maintenance activities, including costs and completion times.
  • Conduct regular inspections to identify potential maintenance issues and address them proactively.
  • Maintain open and effective communication with tenants, addressing their concerns and providing updates on the status of requests and projects.


2. Vendor Relations:

  • Establish and maintain relationships with vendors and contractors.
  • Negotiate contracts and service agreements to secure the best terms and pricing.
  • Evaluate vendor performance and ensure compliance with contractual obligations.
  • Manage contractors and vendors, ensuring quality workmanship and adherence to project timelines and budgets.


3. Property Onboarding:

  • Assist in the preparation and execution of property onboarding plans.
  • Ensure compliance with building codes, safety regulations, and company standards.
  • Monitor property conditions and coordinate necessary improvements or repairs.
  • Collaborate with stakeholders to develop project scopes, budgets, and timelines for new properties.


4. Lease Renewals:

  • Manage lease renewal processes, ensuring timely and accurate execution.
  • Communicate with tenants regarding lease renewal terms and conditions.
  • Assist in negotiating lease terms and resolving any issues that arise.
  • Maintain accurate records of lease agreements and renewals.


5. Project Management:

  • Plan, coordinate, and oversee small to medium-sized remodel projects from inception to completion.
  • Monitor project progress and resolve any issues that arise during the course of the project.
  • Provide regular financial reports and updates to management.


6. Budgeting and Cost Control:

  • Assist in the preparation of budgets for repair, maintenance, and remodel projects.
  • Monitor expenses and ensure projects stay within budget.

7. Communication and Reporting:

  • Maintain open and effective communication with tenants, addressing their concerns and providing updates on the status of requests and projects. Prepare and present reports on maintenance activities, project progress, and vendor performance to senior management

Qualifications:

  • Bachelor's degree in Business Administration, Real Estate, Construction Management, or a related field.
  • 3 years of experience in property management, maintenance coordination, or project management.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and property management software.
  • Knowledge of building systems, maintenance processes, and construction practices.
  • Ability to work independently and as part of a team.


Preferred Qualifications:

  • Experience with commercial real estate properties.
  • Certification in project management (e.g., PMP) or facilities management (e.g., FMP, CFM).
  • Familiarity with industry-specific software such as Yardi, RealPage, or MRI.
