About OSAAT (ONE SCHOOL AT A TIME)


● OSAAT is a NGO involved in developing Physical Infrastructure and Digital Infrastructure for rural public schools across India.

● OSAAT-USA is a 20 year old organisation and OSAAT Educational Charitable Trust, India (OSAAT-India) is a 10 year old organisation. OSAAT-India is managed by the Trustees and predominantly supported by experienced and committed volunteers.

● OSAAT has so far completed 92 Infrastructure Projects in 10 states and 61 schools have been supported with Digital infrastructure in Karnataka, with funding support from corporate donors, HNIs and individual donors both in India and USA.

● OSAAT is now exploring opportunities to expand further and has planned to have a few permanent employees, Director - Operations ( Physical infrastructure) is one of the roles.


Job Description


●Director-Operations (Physical infrastructure ) should clearly understand the vision of OSAAT, work closely with all the stakeholders, get involved in planning and put in place systems and processes and provide strategic leadership in leading all activities related to physical infrastructure projects which includes selection of schools, coordination with Donors for funding, communication with Donors and hold himself/herself and his team accountable for delivery of the Physical infrastructure projects.

● Each School project presently has a Volunteer single point of contact – called ‘Project Champion’ who interfaces with the school and all stakeholders overseeing the project from non-engineering perspective. Going forward all projects may not have a dedicated project champion. Director Operations along with the Operations team will be fully responsible for the successful completion of all projects.

●The Director Operations will work closely with the Engineering team which manages all Engineering / construction activities and the team comprises of architects, civil engineers and Project management professionals.

●The Field team consists of OSAAT members experienced in the school selection process; the Operations team also needs to build the expertise in school selection so that they can do the school selection without a separate field team.

●The Director-Operations (Physical Infrastructure) will work in unison with all the Stakeholders i.e., Trustees, Management committee comprising of Volunteers, Field team, Project Champions and the Engineering team.

●The Director-Operations will have a team of one or more Project managers / Program Managers to support in the delivery.

Job Responsibilities


Responsible for Infrastructure projects, that includes:


● The entire school selection process

● Required support to the Sales and Marketing team for funding

● Mapping of donors to projects

● Project Planning & execution

● Financial management

● Communication with the donors

● Provide required inputs for developing Public Relations

● Post intervention initiatives

● Interface with Lead-Govt-Interface for all support required from different Govt departments / officials, for project execution


School selection process


● Follow-up on initial requests from schools

● Coordinate request review and shortlist / reject of requests

● Work with the Field Team for school visits and evaluation

● Review of site visit reports and work with the review team on final go / no-go

● Finalize the proposal (on what to build) for the school and arrive at estimated project costs

● Follow-up and review of land records

● Prepare Project proposals for donors

● Maintain school-pipeline

●Build skills on field visits, over a period of time should be able to do field visits along with other members of the Operations team.


CSR / Donor Management

● Manage CSR presentations, presentation on schools for funding, project proposals, etc.,

● Meeting with prospective donors, presentation to prospective donors

● Work with the Sales and Marketing team on the Donor-pipeline

● Allocation of donation to projects, managing donor - project matching

● Follow-up with Legal department for donor MOUs

● Follow-up on donor payments

● Project updates to donors

● Donor visit to schools

● Manage Donor dashboards (in some cases)

● Follow-up on any other requests from donors, such as utilization certificates, tax documents, etc.


Project Planning

● Follow-up with champion and school for Consent letter, documents in leu of land documents, plan approvals, etc.

● Follow-up with the Engineering team for drawings, plan for approval, Contractor finalization, etc.

● Review of the building plans against cost estimates

● Follow-up with Champion for Bhumi Puja, prepare Invitation, poster, etc.

● All paper-work required for project start – such as MOM by the school, undertaking letter, construction contracts, etc.


Project Execution


●Follow up with project champion and Engineering-lead to get all project related information and store the same

●Periodic visit to project sites

●Track the project against plan

●Follow up on donor payments

●Follow-up on BaLA, name board, plaques, furniture, etc.

●Follow-up for inauguration, invitation posters, handover, etc.

●All paper-work related to project completion.

●On a need basis, work with other OSAAT teams or partners on project specific additional requirements, such as teachers’ training, school maintenance, etc.


Additional Deliverables


● Website updates, Press releases

● Any other initiatives at OSAAT schools – such as library or lab implementation, donor volunteering programs (e.g., medical camps), etc.

● Based on project experiences, improve all OSAAT processes related to school selection and project execution.

● Training of new OSAAT members on OSAAT processes.
