Job Description


To lead in the operational delivery of a series of national mega events/conferences. Work with the selected third-party vendors and partners to ensure smooth delivery of the series of events organised. To manage and develop best practices for the operations team, working within the constraints of different venues and stakeholders. To drive operational synergies across all event / conferences globally.


Your responsibilities include but are not limited to the following functions:


Broadly, your key duties and responsibilities will be:


Operations


  • Managing event / conferences from operations planning (pre-site) to onsite management.
  • Producing, updating and managing the online floor plan and event center through third-party solutions and actively participate in looking for better solutions if required for future editions in order to improve efficiencies for the team.
  • To be actively involved in the planning and preparation of the stand allocation and review exercise.
  • Working with key vendors such as the technical service providers, venue owner and relevant fire and safety authorities (pre-event and onsite) to vet and approve stand plans submitted by exhibitors.
  • Be actively involved in the operations and logistics planning and management with key service vendors for exhibitor services and ensure key timelines and milestones are met.
  • Work with key service vendors to integrate their online e-commerce and stand plan submission, vetting and approval systems with Event Center to ensure a seamless experience for delegates / speakers to navigate between the different platforms to submit their orders for event services.
  • In-charge of all Organizer requirement onsite including the planning of onsite (physical and digital), pavilion design and set-up, contra media stands design and planning, association offices planning and coordination, internal stakeholders working offices onsite, onsite registration queue system and security planning etc, working with the venue owner and all other key vendors.


Communications and liaison


  • Be the main contact point for the key service vendors and venue owner.
  • Liaising with suppliers and negotiating contracts.
  • Liaising with delegates and any relevant authorities to ensure smooth onsite operations.
  • Venue management and communication.
  • Site visits and handling all events technical and operations related inquiries, working with the appointed suppliers and partners closely.
  • Producing onsite information including staff briefings, exhibitor lists and floor plans.
  • Plan and coordinate the scheduled site visits and onsite meetings.
  • Handle all event operations related inquiries, working with the appointed key service vendors, venue owner and relevant authorities.


Budget


  • Manage the Operations budget assigned and ensure projects milestones related to operations deliverables are achieved on time and within budget.
  • Adjusts and communicates plan changes as necessary to ensure costs for materials and onsite expenses are in line with project master schedule, and targets.


Staff Management


  • Performance and day-to-day operational management of team member.
  • Inspiring, motivating and supporting staff so that they are thinking and acting at their best, delivering high-quality work, working as an effective team and meeting organisational and individual objectives.


Reports


  • Reporting to the Project Director, providing timely updates to the Project Director on project progress including stand plan submission, vetting submission and technical services orders status.
  • Post-event reporting and analysis.
  • And any ad hoc projects assigned by the Management


Qualifications/Skills/Experience:

  • At least 8+ years direct working experience leading a team managing the operational aspects of mega events / conferences.
  • Able to manage suppliers to maximize their service levels and still maintain good working relations.
  • Knowledge of freight forwarding and general logistics regulations an advantage.
  • Good budget management skills.
  • You must be able to work independently and keep to tight deadline while also a team player with strong leadership skills.
  • Bachelors degree.
  • Good Communication skills (written & spoken).
  • Particular & accurate in your work.
  • Strong work ethic with a positive attitude.
