Roles and Responsibilities Required


  • Maintaining office systems, including data management and filing
  • Arranging travel, visas and accommodation, and occasionally travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations
  • He should be present on behalf on CEO / MD, whenever required.
  • screening phone calls, enquiries and requests, and handling them when appropriate
  • Meeting and greeting visitors at all levels of seniority
  • Organising and maintaining diaries and making appointments
  • Dealing with incoming email, faxes and post, often corresponding on behalf of the manager
  • Carrying out background research and presenting findings
  • Producing documents, briefing papers, reports and presentations
  • organising and attending meetings and ensuring the manager is well prepared for meetings
  • Liaising with clients, suppliers and other staff.
  • Carrying out specific projects and research
  • Taking responsibility of accounts and budgets
  • Working more closely with management if taking on some of the manager's responsibilities
  • Deputising for the manager, making decisions and delegating work to others in the manager's absence

Being involved in decision-making processes. Also Scheduling appointments, meetings, and events for the executive. Ensuring that the executives are on time and well-prepared

  • Reminding the manager/executive of important tasks and deadlines
  • Typing, compiling and preparing reports, presentations and correspondence
  • Managing databases and filing systems
  • miscellaneous tasks to support their manager, which will vary according to the sector and to the manager’s remit, e.g. completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research.



Skills Required


  • Relevant experience and secretarial and administrative knowledge, you'll need to   show evidence of the following:

Educational Qualification Required


  • Certification in secretarial work, office administration, or related training will be plus.
  • 3+  years of experience as a personal assistant would be mandatory.
  • Full time MBA / Business Administration from a recognised university.
  • Extensive experience in creating documents and spreadsheets, using office software such as MS Word, Excel, and PowerPoint.
  • Advanced typing, note-taking, record keeping, and organisational skills.
  • Ability to manage internal and external correspondence.
  • Working knowledge of printers, copiers, scanners, and fax machines.
  • Proficiency in appointment scheduling software such as MS Outlook, as well as call forwarding.
  • Exceptional interpersonal skills.
