Job Overview: We are seeking a highly organised and proactive Office Administrator to join our team. This role will be responsible for managing the overall schedule of projects and tasks across our web and marketing teams, overseeing client budgets and service contracts and handling invoicing and bookkeeping. The ideal candidate will ensure that all necessary information and access are secured before tasks are scheduled, facilitating smooth operations and efficient project execution.


Key Responsibilities:

  • Schedule Management:
  • Develop and maintain the master schedule for all projects and tasks across the web and marketing teams.
  • Coordinate with the heads of web and marketing projects to ensure alignment and avoid conflicts.
  • Update and adjust schedules as necessary to accommodate changes and ensure project timelines are met.
  • Information Gathering:
  • Collect all relevant information and access requirements before scheduling tasks.
  • Ensure all team members have the necessary resources and information to complete their tasks effectively.
  • Communication and Coordination:
  • Act as the central point of contact for all scheduling inquiries and adjustments.
  • Communicate schedule updates and changes promptly to all relevant team members.
  • Collaborate with team leads to understand project priorities and deadlines.
  • Financial Administration:
  • Manage client budgets, tracking hours in service contracts to ensure they are adhered to.
  • Prepare and issue invoices to clients in a timely manner.
  • Support bookkeeping activities using QuickBooks, including reconciling accounts.
  • Monitor accounts receivable and follow up on overdue payments.
  • Monitoring and Reporting:
  • Monitor the progress of scheduled tasks and projects, identifying any potential delays or issues.
  • Provide regular reports on schedule adherence, project timelines and budget status to management.
  • Suggest improvements to scheduling and financial processes and tools based on feedback and performance analysis.


Qualifications:

  • Education and Experience:
  • Bachelor’s degree in Business Administration, Project Management, Accounting, or a related field is preferred.
  • Minimum of 2 years of experience in a scheduling, project coordination or financial administration role, preferably in a digital marketing or tech environment.
  • Skills:
  • Exceptional organisational and time management skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in project management software and scheduling tools.
  • Basic understanding of bookkeeping principles. Experience with QuickBooks is a bonus (training and support will be provided).
  • Ability to work independently and manage multiple priorities in a fast-paced, remote work environment.
  • Attention to detail and problem-solving skills.

  • Familiarity with digital marketing and web development processes is a plus.
