Role Description

This is a full-time on-site role for an Executive Assistant to the National Head at AUM Capital Market Private Limited in Greater Kolkata Area. The Executive Assistant will be responsible for providing executive administrative assistance, managing expense reports, offering executive support, and maintaining effective communication with stakeholders.


Qualifications

1. **Administrative Support:**

- **Calendar Management:** Coordinate and manage the director’s calendar, scheduling meetings, appointments, and events. Ensure all commitments are met and conflicts are resolved.

- **Travel Arrangements:** Organize travel itineraries, including flights, accommodations, and transportation. Prepare travel agendas and handle any changes or cancellations.

- **Correspondence:** Manage incoming and outgoing communications, including phone calls, emails, and mail. Draft and proofread correspondence and documents as needed.

2. **Meeting Coordination:**

- **Preparation:** Prepare materials for meetings, including agendas, reports, and presentations. Ensure that all necessary equipment and documentation are available.

- **Minutes and Follow-up:** Attend meetings to take minutes, track action items, and follow up on assigned tasks or projects.

3. **Office Management:**

- **Supplies and Equipment:** Monitor and manage office supplies and equipment, ensuring the director’s office is well-stocked and operational.

- **Document Management:** Organize and maintain files, records, and documents, both digital and physical. Ensure that confidential information is handled appropriately.

4. **Event Planning:**

- **Organize Events:** Plan and coordinate events such as conferences, seminars, and team-building activities. Handle logistics, invitations, and arrangements to ensure successful execution.

5. **Project Assistance:**

- **Support Projects:** Assist the director with various projects, including research, data analysis, and report preparation. Track project milestones and deliverables.

6. **Liaison Duties:**

- **Communication:** Act as a point of contact between the director and internal or external stakeholders. Facilitate communication and ensure timely responses to inquiries.

7. **Confidentiality:**

- **Discretion:** Handle sensitive and confidential information with the utmost discretion and integrity. Maintain confidentiality in all aspects of the role.

8. **Problem-Solving:**

- **Proactive Solutions:** Anticipate the needs of the director and address potential issues before they arise. Provide effective solutions to administrative challenges.

### Skills and Qualifications:

- **Organizational Skills:** Ability to manage multiple tasks, prioritize effectively, and maintain attention to detail.
