Role

The Logistics & Operations Manager plays a crucial role within Quidich Innovation Labs, ensuring that all logistical aspects of the office run smoothly, enabling employees to perform their best and supporting the company’s overall operational efficiency. The ideal candidate will be responsible for managing the inflow and outflow of office materials, ensuring that all operations are conducted efficiently, accurately, and in alignment with the company’s goals. This role involves overseeing the management of assets, coordinating travel and accommodation arrangements, and maintaining a high level of employee satisfaction through effective issue resolution and continuous process improvement.


Responsibilities

  • Overseeing the organization, maintenance, and cleanliness of the office space to ensure a safe and comfortable working environment.
  • Developing and implementing office policies and procedures to support productivity and efficiency.
  • Coordinating with internal teams to address any workspace or facility-related needs and improvements.
  • Managing and tracking office assets, including computers, laptops, and other equipment, ensuring accurate documentation of all assets.
  • Coordinating the setup, maintenance, and decommissioning of IT assets (PCs, laptops) to support employee productivity.
  • Conducting regular inventory checks to monitor asset usage, maintenance schedules, and upgrades.
  • Establishing and maintaining relationships with vendors and suppliers to ensure timely, high-quality service and supplies for the office.
  • Negotiating contracts and terms to optimize costs and secure the best deals for office needs, including equipment, supplies, and services.
  • Monitoring vendor performance and address any service delivery issues promptly to ensure continuous operational efficiency.
  • Managing daily office activities and services, such as office supplies, utilities, maintenance requests, and other essential services.
  • Coordinating company travel arrangements, including flights, accommodations, and transportation, ensuring adherence to travel policies.
  • Proactively addressing any operational issues that may impact the team, ensuring a seamless and supportive working environment.
  • Serving as the primary point of contact for employees regarding logistical or operational needs, fostering a supportive office environment.
  • Addressing office-related concerns and improving processes based on feedback to enhance employee satisfaction and productivity.
  • Implementing initiatives to improve the employee experience within the office, contributing to a positive and engaging workplace culture.
  • Continuously improving office operations by analyzing workflows and implementing best practices based on employee feedback and data-driven insights.
  • Ensuring accurate and up-to-date documentation of office logistics, asset management, vendor agreements, and office policies.
  • Utilizing Microsoft Office Suite and other relevant tools for data analysis, workflow management, and reporting.


Required Skills and Competencies

  • Degree or certification in office operations, logistics, business administration, or a related field.
  • Proven experience in office management, logistics, or operations roles, with a demonstrated ability to manage office assets, vendors, and day-to-day operations.
  • Ability to manage multiple tasks efficiently, with a strong focus on accuracy and attention to detail in documentation and operations.
  • Excellent communication skills for interacting with team members, vendors, and stakeholders; strong negotiation skills for securing favorable terms with suppliers.
  • Proven ability to lead, motivate, and manage a team effectively, with strong conflict resolution abilities to maintain a positive work environment.
  • Analytical and problem-solving skills to make informed decisions and address logistical and operational challenges efficiently.
  • Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and preferably familiarity with organizational management softwares such as Zoho Projects, SAP or Zimyo.
  • In-depth understanding of logistics administration, process optimisation, vendor management, and negotiation tactics.
  • Commitment to maintaining high employee satisfaction by addressing issues promptly and continuously improving office processes.
  • Ability to prioritize tasks, manage time effectively, and adapt to changing situations to ensure seamless operations.
  • Commitment to continuously improving processes and operations, with strong financial acumen for managing budgets and controlling costs.
  • Demonstrates a proactive and entrepreneurial mindset, continuously seeking opportunities to improve operations and drive innovation within the role.
