We are seeking anexperienced Business Secretary for a business group dealing inPremium Real Estate development Hospitality Agrofarming FMCGamongst others. The Business secretary will work closely with theowners or senior to provide logistical administrative and businesssupport usually on a onetoone basis. The role enables the best useof the Leadership time by dealing with secretarial andadministrative tasks. The role requires to understand and buildextensive knowledge of the organisation businesses that exist or tolaunch.

Role Responsibilities:

ManagementSupport

  • Staying alignedto the Chairman & Business goals and doing all in capacity tohelp progress these goals.
  • Managing diariesand organising meetings and appointments often controlling accessto the Chairman/management.
  • Managing all traveland logistics for management and employees including Visasticketing and other travel related tasks.
  • Drafting email responses/ project reports onbehalf of management often requiring some research
  • Researching as required on business interestsof Management to narrow down/ bring the right and filteredinformation in.
  • Organising events and meetingsrequired by the business.
  • Being a brandambassador for the business using opportunities of everyinteraction outside of the company to project the Company brand.Partner with internal teams on same.
  • Activelysupporting & representing on Corporate Social Responsibilitiesof the Company
  • Maintaining client/ importantpartner information & managingrelations.
  • Liaising with staff clients andsuppliers/ vendors.
  • Collating and filingmanagement and employee expenses working with accounts forrecords.
  • miscellaneous tasks to support theChairman/ management eg completing some corporate governancereporting (to ensure that the business is being run properly andcomplying with legislation and regulations) or conducting neededresearch.

EmployeeSupport:

  • Employeepersonnel filing database & maintenance (leave records/employee details etc).
  • Supporting in screeningCVs understanding role profiles and supporting thehiring.
  • Preparing & discussing workcontracts.
  • Privy to employee sensitiveinformation including performance concerns ordiscipline.
  • Support to management in investingin employees in terms of recreation paperwork coordinating trainingetc.
  • When required supervise/ manage the officepeon.

Research &BusinessSupport:

  • Relevantresearch screening of information relevant to existing business orlaunches.
  • End to end coordinating with theteam on some of the launches including contributing to the researchrequired.
  • Create through presentations usingMicrosoft/ Canva
  • Conduct primary and secondaryresearch as required engaging with the Business Development team asneeded.

AdministrativeSupport:

  • Implementingand maintaining procedures/administrativesystems
  • Create & manage an office supplyfor stationary and other inventory
  • Setting upStandard Operating Procedures (SOP) for smooth functioning ofdaytoday operations record keeping etc.
  • Filingsystems for business paperwork filing like Land deals/ Client Saledeeds permissions licenses etc
  • Audits ofrestaurants and cafes to ensure hygiene health and otherdisciplines are in place.
  • Maintaining a strongconnect with these employees too and other site keypersonnel.

JobRequirements

  • Graduateor Bachelors degree in Business Marketing orequivalent.
  • 5 years of experience in similarrole preferably in real estatebusiness.
  • Extremely high maturity &discretion in dealing with Management/ managementmatters.
  • Highest level of integrity andLongterm commitment to the role.
  • Discretion andtrustworthiness the individual will often be party of confidentialinformation.
  • Attention to detail and very highwork ethics.
  • Exceptional ListeningCommunication and Interpersonal Skills.
  • Resultorientation and highly positiveattitude.
  • Organizational Skills &multitasking.
  • Intuitive skillset to handle highprofile management in sometimes a stressfulenvironment.
  • Microsoftefficient.
  • Role may require travel domestic.
